Administrative Assistant / Facilities Department
SUMMARY We are seeking a person who loves serving in the church environment; becoming involved in the lives and ministry of the church staff, volunteers, members, and guests. This person will have proven experience in the areas of facility administrative office procedures and will partner with all team members to ensure the efficiency and operation of the campus, housekeeping and maintenance provided, and events are properly scheduled in a timely manner.
The Facilities Department Administrative Assistant plays a crucial role in overseeing and managing the daily operations of the Facilities Department. This position requires a strong combination of administrative, organizational, and interpersonal skills.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following, but are not limited to:
· Complete daily / weekly all work associated with the following:
o Completion of purchase orders/receipts for maintenance
o Dispatch maintenance / housekeeping calls to the Facility team throughout the day
o Fill in for Facilities Manager when absent.
o Basic maintenance troubleshooting of needs that arise along with scheduling service calls as needed.
o Escort service providers around campus as needed.
o Locate parts and general maintenance supplies as needed.
· Perform research and complete reports when requested.
· Timely management and follow-up on all FMX (help-desk) maintenance work-load requests.
· Timely manage FMX (help desk) Scheduling Requests. Attend approval meeting, communicate any request that have been denied. Approve action of request in system. Communicate set up needs.
· Issue keys and badges for church and school employees along with tracking keys when employees leave employment.
· Access key scan system and schedule doors for events for both Grace Baptist Church and Grace Christian Academy.
· Prepare individual ministry area communication (reports, correspondence, flyers and other printed material) with attention to accuracy and detail.
· Operate a personal computer, media equipment and other related equipment as appropriate.
· Attend office staff meetings each week and/or any other meetings and training seminars as requested.
· Serve as a liaison between the facilities department and other Grace members, employees and staff, and families providing timely and accurate information regarding schedules, changes, and other relevant updates.
· Foster positive relationships with all Grace members, employees and staff, collaborating to promote and support the goals of the organization.
· Perform other duties as assigned.

Strong organizational and administrative skills, with the ability to manage multiple tasks and deadlines effectively.
Proficiency in using computer software and applications relevant to administration, such as scheduling software, database systems, and Microsoft Office Suite.
Attention to detail and accuracy in maintaining records and handling paperwork.
Have 1-3 years of administrative experience.
Experience coordinating events and special projects.
Flexibility to work outside traditional work hours.
Possess excellent organizational, project management, data entry, interpersonal, intrapersonal and communication skills.
Ability to operate computer systems and software such Microsoft Word, Excel, Power Point, Outlook and Internet, and other software systems.

PHYSICAL DEMANDS
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this position. · While performing the duties of this job, the employee may regularly be required to sit, stand or walk for extended periods of time.
Be able to lift items that weigh up to 25- 30 pounds.
WORK ENVIRONMENT
The individual will be assigned a workspace at Grace Baptist Church from where (s)he will conduct official business.
