Job Description
HOURS AND SCHEDULE:
- Starting out as a Contract position, 5 days per week, from 8:00am-5:00pm.
- Position has potential of becoming a permanent position as a Full-Time role, for the right person
RESPONSIBILITIES AND DUTIES:
- Welcome guests & clients by greeting them in person or on the telephone, answering or directing inquiries
- Draft correspondence, pleadings, contracts and varied other documents
- Organize client conferences & attorney meetings
- Schedule hearings with judicial assistants (including contact with opposing counsel, court reporter and preparing notice)
- Schedule couriers, court reporters, expert witness & other special functions
- Book travel for all attorneys and calendar same
- Prepare expense reports and check requests through ChromeRiver software program
- Maintain attorneys' calendars by planning and scheduling conferences, teleconferences, depositions
- Remind attorneys of daily calendar items and prepare each for meetings & hearings
- Represent attorneys by communicating and obtaining information; follow up on delegated assignments
- Maintain attorneys' Outlook email inbox and sent folders by associating work-related and firm-related email
- Maintain hard copies of client files (as necessary)
Case Screening/Origination
- Prepare documentation to run initial conflict check
- If conflict clears, prepare necessary documentation (including follow through)
- Prepare Interwoven folder and hard file (as necessary)
Investigation
- Assist in the process by scheduling meetings and telephone conferences on behalf of attorneys
- Perform LEXIS searches (as necessary)
- Create and maintain a reliable and accurate filing system for electronic documents (hard copies as necessary)
- Locate process servers and/or Sheriff's Offices in all areas of the US for service of process
Pleadings
- File original actions [summons and complaint] with state and federal court through e-filing
- Create FILED PLEADINGS folder in Interwoven under Pleadings tab for all new case numbers
- File all pleadings electronically with the necessary court system and assure the filed pleadings are copied to Interwoven
Discovery
- Prepare discovery documents and notices of filing, including interrogatories, requests for production and admissions
- Calendar response dates for all discovery
- Organize produced documents in Interwoven
Pretrial
- Prepare and proofread briefs and other pleadings
- Ensure that all documents are properly formatted and in compliance with court rules
- Coordinate preparation of exhibits and witness lists with paralegal
- Arrange travel and accommodations for attorneys, witnesses, clients
Additional responsibilities
- Reconcile each attorney's monthly Business File Report
- Review and email or US Mail each attorney's monthly client billing statements
- Receive and review ECF emails from the Bankruptcy Court, route to proper interested persons, file each attachment to Interwoven and calendar
- Prepare PowerPoint presentations
