    Sales Administration Manager

    LOCATION: Melville, NY

    Our client, a leader in the international entertainment and digital imaging market, is offering an exciting opportunity to manage and lead their dynamic sales support team.

    OVERALL RESPONSIBILITY:

    Manage and maintain processing of SAP Billing/Return functions, customers, and sales representatives accounts. Create, prepare, run, and validate commission data and reports for board and management reports. Respond to all field and sales commission inquiries. Prioritize order fulfillment and shipments of orders in order to meet Monthly Sales Goals. Collaborate with Head of Operations, and Head of Sales and keeping all apprised of all ongoing strategic operations activities.

    ESSENTIAL FUNCTIONS AND KEY AREAS OF RESPONSIBILITY:

    • Manage and supervise the sales administration team to ensure that all duties, functions, and policies related to Sales Administration are consistently and accurately adhered to in an effective and timely manner; continuously monitor the team in an effort to accomplish and meet our company’s periodic Sales Goals as well as ensuring that the needs of the Sales Team in the field are met in order for them to accomplish the same.
    • Set-up, maintain, manage and report sales commissions.
    • Act as the first contact for all field and sales management commission inquires.
    • Validate and audit monthly commission data for accuracy, completeness, and consistency.
    • Manage the processing of all Billing Functions (Invoicing, credits, debits, proformas, and returns).
    • Manage set-up and maintenance of all Customer, Sales Rep Accounts.
    • Manage Dealer & OEM order entry, Elements Software preparation, and Maintenance of Order Files.
    • Ensure that all monthly SAP/BW reports related to Sales Administration (like “Returns Reverse Estimate for Coming Quarter” and other similar reports TBD) are executed and distributed on time.
    • Respond to and work with IT to resolve SAP/BW system issues.
    • Create department systems and processes to effectively and efficiently meet business needs.
    • SAP Sales and Distribution database administration.
    • Able to work in Cross-Departmental Teams to resolve company open issues (ex. Contracts Administration Group, IT Group, CRM Group, Marketing Group, Software Group, Planning Group, Purchasing Group, Import Export Group, Consignment Group and the CDC, Ops Center and UPS-3PL, Service Group, Credit Group, Accounting Group, Compliance Group, and HR Group).
    • Perform other duties or projects as required in collaboration with the Head of Operations and the Head of Sales.
    • Work outside of normal hours of operation, as needed, in order to fulfill essential functions and responsibilities.
    • ANCILLARY RESPONSIBILITIES:

    • Complete and administer performance evaluations for all direct reports.
    • Implement new procedures to create a cost-effective business model.
    • All other duties as required or needed.

    QUALIFICATIONS:

    • Strong SAP R3/BW skills and Salesforce skills.
    • Strong MS Office applications skills (Word, Excel, PowerPoint, Outlook).
    • Excellent customer service skills.

    • Strong organizational & time management skills.
    • Excellent teamwork and problem resolution skills.
    • Strong analytical skills.

    • Some Accounting experience a plus.
    • Ability to work outside of regularly scheduled work hours as needed.

    • Ability to execute personnel actions such as hiring, evaluations, or promotions.
    • Ability to analyze data and information.

    • EDUCATION, SKILLS & EXPERIENCE:

    • High School Diploma or equivalent required
    • BS/BA Business Administration preferred
    • Minimum 5 + years management of sales administration or related experience
