Job Description for Greater Mercer County Association of Realtors Account Executive
Maintain accurate membership rolls including emails, phone numbers, broker, home address (President)
Care for and maintain confidentiality of meetings, board meetings, financial, member information, member and public complaints and ethics issues
Process new member applications. Review for completeness and accuracy. Determine prorated dues for remainder of year. Forward to board for voting. Establish new Realtor into database and process payment of local, state, and national dues for new Realtor. Notify and interact with broker or office manager regarding late payment, failure to complete required ethics training or other issues regarding their assigned Realtors.
Annual dues collection processing. Notify members of upcoming annual dues collection for October through December time frame. Include reminders of dues in regular communication to members during the dues collection time frame. Process the incoming dues in the way of checks or credit card payments. Notify brokers or office managers of delinquent dues on December 1st and 15th and 31st. Notify GMCAR president and board of delinquent dues on Jan 1st. Work with board to handle delinquencies. Make deposits of received dues. Make payments to PAR and NAR of annual dues.
Maintain books for GMCAR in the way of checking account. Verify deposits and payments. Work with annual auditor to provide records to support payments and receipts. Report status of bank accounts to board on a regular basis. For board meetings provide up to date records of recent transactions and current balances. Work with board president and treasurer to maintain records accurately at bank including signature cards and checks. (Treasurer)
Prepare for and plan for GMCAR events including association meetings, Christmas party, and one time events like Red Kettle day, Thanksgiving Food collections days, Senior Citizen days, and other events as directed by board and president. Arrange for restaurant and locations and assist in advertising to association members. Compile attendees and handle payment for lunch if needed. Help with fund raisers for RPAC. (President)
Keep accurate records and maintain reporting for NAR Core Standards. Compile statistics and required reports and process as directed. (President-Elect)
Care for and maintain GMCAR owned cell phone and computer.
Assist in setting committee assignments for the year at first association meeting. Coordinate required training for committees as required.
Assist in preparing agenda for board and association meetings. (President). Assist secretary in recording minutes and dissemination to board or association at appropriate time.
Maintain website, social media sites, and other public facing and member facing media. Maintain regular and meaningful communication to association members.
Association Management • Provide a full-time office for the receipt of telephone calls, mail, and processing association business. All calls are answered by real people, with no automation. • Provide phone coverage during regular business hours, five days a week. • Provide a fax line for the organization. • Provide one general email address for association business • Provide for storage of financial and archival records, legal documents, membership information, and back publications. • Maintain an index of stored materials and electronic archiving of old documents and all current and future documents. • Interface and collaborate with the Board of Directors to insure efficient workflow and task management. • Oversee compliance with NAR’s Organization Alignment Core Standards for Local Associations, including submission of the Certification Form via NAR’s Compliance Tool (see below for more information on NAR’s Core Standards) • Communications: Send out monthly newsletters, notices to members, etc. Financial Operations and Management • Leadership level management of the association’s finances and resources • Provide oversight by a Certified Public Accountant (CPA) • Receive, deposit, disburse and report on funds • Prepare and update budget and financial reports • Oversee financial audit and/or reviews • Oversee yearly tax filings • Maintain records of accounts receivable and accounts payable • Reconcile bank statements • Maintain general ledger • Prepare checks for signature • Prepare and distribute monthly financial reports • Work with Board of Directors and Treasurer to prepare annual budget • Recommend strategies to improve the organization’s financial position Meeting and Event Management • Coordinate site selection • Negotiate contracts with venues, speakers, and other suppliers • Work with relevant committees to develop educational programming • Make food and beverage arrangements • Implement event marketing plan, including print and digital materials DocuSign Envelope ID: 83D28699-7C26-4903-95B9-BC9F0439349E Page 10 of 11 • Manage event registration, including VIP handling • Conduct post-event evaluations and make recommendations for future events Membership Services • Oversee and update all printed and electronic office and promotional materials • Maintain database of members • Administer the processing of applications and renewal notices • Creation and mailing of dues bills • Maintain records of dues payments • Collection of overdue dues payments • Enroll new members throughout the year • Manage all member communications via phone, written, and electronic communication • Maintain the association’s website Board of Directors and Committee Support • Provide executive-level support and counseling for the association’s Chair and Board • Assume responsibility for implementing strategies consistent with the association’s mission • Cultivate strong relationships with association’s Board members and leaders • Maintain the association’s historical and corporate records • Assist the Board with the performance of its duties • Facilitate the implementation of a strategic plan
