    As a Greeter/Patient Experience Coordinator, you’ll play an important role in that experience at our Great South Bay location in West Babylon, NY. You’ll be the first face our patients see—setting the tone for their visit with warmth, organization, and genuine care from the moment they walk through the door.

    Experience Required

    Dental experience is a plus but not required—customer service or hospitality experience is a great foundation for this role

    Experience with Dentrix Ascend or other dental practice management software is helpful, but we’ll provide training on our systems

    What You’ll Do as a Greeter/Patient Experience Coordinator Front Desk & Patient Arrival

    Greet patients warmly and professionally, using their names—setting up the service for success and ease.

    Change patient status within our dental system to notify the team that their patient has arrived.

    Announce to the specific team on the radio that their patient is ready to be brought to the operatory for scheduled treatment.

    Before patients’ scheduled appointments, check to make sure all needed paperwork is completed, and follow up with patients if it isn’t.

    Scan any patient documents and move them to the patient file, if needed.

    Take a picture of arriving patients and update IDs as needed in the patient file.

    Ensure that any new patient insurance information is shared for a benefits check.

    Prepare the new patient welcome gift, and write and display the patient “welcome” sign.

    Make sure the reception area is neat and looking its best.

    Patient Communication & Experience

    Keep abreast of wait times and communicate accordingly with patients in reception—our goal is to honor the patient’s time while in service.

    Check emails frequently to stay up to date on communications throughout the day.

    Reach out to patients via our dental software when they may be running late for their scheduled appointment; communicate their ETA to the team.

    Communicate any patient issues with the team to collaborate on a resolution or enhanced service opportunity.

    Comfortably ask happy patients to share feedback in an online review, or refer a friend to the practice.

    Team Collaboration & Practice Support

    Work collaboratively with the entire practice to meet or exceed monthly goals so all team members have the opportunity to receive the monthly bonus.

    Mentor new team members when comfortable and able to add value.

    Keep track of new patient numbers and referred-by information on patient paperwork.

    Generate and review reports, when directed.

    Perform all other duties as deemed necessary by the Administration Team and/or COO

    Minimal Qualifications: Education:

    High school or equivalent (Required).

    College degree optional.
