    PATH’s Malaria and Neglected Tropical Diseases (MNTD) program is a leader in the effort to end malaria illnesses and deaths, refines and develops tools and approaches, invests in national programs, and builds data to empower national governments to pursue malaria elimination.

     

    PATH is recruiting a Program Assistant to lead the MNTD Director’s calendar management and travel, assist with communication and knowledge management activities for the MNTD Policy and External Engagement team, and work with the portfolio project manager to support MNTD program rhythm of business.

     

     

    Specific responsibilities include:

     

    MNTD Director administrative support – 30%

     

    • Overall management responsibility for the MNTD Director’s calendar, including scheduling, organizing, and setting up regular and ad hoc meetings
    • Provide support to the MNTD Director in setting agendas, taking notes, and following up on meetings as well as identifying and solving problems
    • Plan and manage domestic and international travel for the MNTD Director. Complete required documentation prior to travel and submission of travel expenses following trip completion
    • Coordinate requests for MNTD Director technical review of externally facing documents
    • Serve as the primary administrative contact for the MNTD Director, handling confidential and sensitive information appropriately
    • Engage as a partner to other Program Assistants and Senior Program Assistant in assuring efficient coordination of leadership schedules, meetings, and general operations

     

    Communications – 30%

     

    • Collaborate closely with MNTD Policy and External Engagement colleagues to develop and execute regular and ad hoc project communications for internal and external audiences
    • Schedule and coordinate meetings and webinars among the team and with external partners including managing all logistics for webinars, drafting talking points, drafting correspondences, and taking meeting notes
    • Maintain MNTD internal and external communications contact lists in Salesforce and other platforms as needed
    • Support knowledge management efforts by organizing Box folders and Smartsheet trackers
    • Assist with information gathering, preparation, proofing and distribution of communications materials to ensure quality, including internal/external correspondence, presentations and other materials

     

     

    Cross-cutting program support – 40%

     

    • Maintain systems to organize project files and deliverables from PATH staff and partners, including project reports, contracts, and presentations (e.g., SharePoint and Box)
    • Assist with the drafting, editing, and proofreading of a variety of documents including reports, presentations, and manuscripts
    • Perform desk reviews/research to support implementation of project activities (including research and assessments)
    • Coordinate arrangements for on-site and virtual conferences, workshops, and other events as requested including invitation letters, catering arrangements, event logistics, hotel negotiations, and billing reconciliations with accounts payable
    • Plan travel for staff as needed—sourcing hotels and conference venues, serving as liaison with the PATH Travel Team and travel agency, managing passport and visa processing, processing pre and post travel paperwork— ensuring adherence to travel policies
    • Prepare purchasing requests for supplies or professional services
    • Serve as back-up to other PAs or SPAs as needed

    Required Skills Required Experience

     

     

    • Bachelor’s degree and a minimum of 2 years of experience in an administrative setting or a combination of education and experience.
    • Excellent attention to detail and results focused while able to adapt to changing priorities
    • Ability to be flexible in a global environment with varying time zones
    • Ability to organize and implement events for large groups and international guests
    • Excellent and demonstrable organization, communication, and writing skills
    • Strong research, proofreading, and editing skills
    • Ability to manage time efficiently, and work effectively under deadlines
    • Proficiency working with Microsoft Office including Word, PowerPoint, Outlook, and Excel, and with knowledge management platforms
    • Demonstrated ability to work collaboratively with diverse teams and interface effectively with internal and external stakeholders
    • Familiarity with malaria and French language skills a plus
    • Must have legal authorization to work in the US

    We offer our employees a competitive salary and generous benefits.  For candidates based in the U.S., the annual salary range for this position is $50,000-$62,500, the final salary is based on a variety of objective factors.

    HYBRID WORK

     

    PATH operates within a hybrid workplace model unless otherwise noted. Hybrid employees must reside within commuting distance to one of our PATH offices. PATH’s US offices are located in Seattle, WA and Washington, D.C.
