    TRUSTMARK IS CURRENTLY SEEKING A PROJECT ADMINISTRATOR & EXECUTIVE ASSISTANT TO JOIN THE TEAM.

     

    Executive administrative support for the Corporate Development team and the CFO. Project administration for Corporate Development, supporting multiple aspects of deal processes. Partner with the Senior Executive Assistant to the CEO to provide administrative support to the CEO and Board of Directors, when needed, including event management. Manage sensitive matters with the highest level of confidentiality and discretion.

     

    KEY ACCOUNTABILITIES

    CEO AND BOARD OF DIRECTOR SUPPORT

    • Support Senior Executive Assistant to CEO with all aspects of executive support for the CEO and the Board of Directors.
    • Duties range from meeting scheduling, travel planning, offsite meeting planning and management, material preparation and travel assistance.
    • When needed, post Board and Committee meeting materials to online portal, Boardvantage. This work requires the highest level of confidentiality and discretion, with a high attention to detail and an ability to quickly respond and complete tasks, sometimes after normal working hours.

    STRATEGY & CORPORATE DEVELOPMENT / PROJECT SUPPORT

    • Work closely with team members and at their direction, to provide project and administrative support for deal activity, including distributing confidential materials, tracking deal activity, issuing and tracking of Non-Disclosure Agreements (NDA), etc.
    • Schedule highly confidential management meetings and conference calls with investment bankers, outside counsel, consultants.
    • Contribute to and coordinate development of meeting materials
    • Update project timelines and issues trackers.
    • Support due diligence, including collecting and tracking materials for a Virtual Data Room.
    • This work requires the extreme sensitivity to the confidential nature of the work, rapid responses to requests, sometime after normal working hours.

    SENIOR EXECUTIVE ADMINISTRATIVE SUPPORT

    • Provide administrative support for assigned Enterprise Leadership Team members (SVP, Strategy & Corporate Development and EVP & Chief Financial Officer).
    • Oversee calendars, meeting scheduling, and meeting preparation / follow-ups.
    • Facilitate communication of highly confidential and time sensitive nature.
    • Represent office of ELT member to external parties including audit firm, investment bankers, and consulting firms.
    • Plans events, distributes information, drafts agendas and records minutes at meetings. Prepares routine and advanced correspondence including letters, and memoranda.
    • Complete administrative processes including expense reimbursement, invoice payment request, vendor contract submission, etc.
    • Provide additional support including scheduling team events, conducting research, preparing data and presentations, handling information requests, preparing correspondence, receiving visitors, organizing emails, etc.

     

    EVENT MANAGEMENT

    • At the direction of the Senior Executive Assistant to the CEO, schedule and manage meetings and conference calls as well as larger engagements for the Executive Leadership Team (ELT) members and senior leadership.
    • Research hotels, negotiate contracts, plan meals / entertainment, arrange for A/V, and provide travel support for attendees, including external guests.

     

    TRUSTMARK FOUNDATION SUPPORT

    • At the direction of the Foundation Chair, schedule meetings, develop agendas, develop, and distribute communications and reports.
    • Submit payment requests for Foundation contributions.

     

    EDUCATION AND EXPERIENCE

    • 4 or more years’ experience as an Executive Assistant for C-Suite leaders
    • Experience supporting multiple executives and juggling multiple priorities / functions
    • Experience providing project administration for highly complex and fast-pace projects, including issue tracking, action logs, detailed timelines, and budget tracking
    • Strong personal ethical code and integrity and deep respect for privacy and confidentiality
    • Strong organizational skills and ability to manage a significant workload for multiple internal stakeholders with competing deadlines.
    • Strong written and verbal communication skills, including proven ability to interact with senior executives, outside Board members and their administrative staff, all levels of employees, clients, vendors, and other external stakeholders
    • Utmost commitment to accuracy and attention-to-detail
    • Experience working closely with others to execute tasks
    • Solid skills in MS Teams, Outlook, Word, Excel, and PowerPoint, Adobe Acrobat, and Board of Directors portals

    PREFERRED

    • Experience supporting a Corporate Development function, with general knowledge of a deal process
    • Experience supporting Boards of Directors, including administrative processes
    • Associates Degree or equivalent
