  • Responsibilities

    Working within the Boston University office of Technology Development (OTD), the primary responsibility of the Intellectual Property and Agreement Specialist position will be to coordinate the intellectual property and licensing docketing system; federal compliance and reporting activities; as well as support other intellectual property related matters such as invention disclosure intake processes and manage routine correspondence from outside patent counsel. This individual will also provide support for material transfer, confidential disclosure, interinstitutional, and patent license agreements.

     

    ESSENTIAL FUNCTIONS:

    • Docketing of patent actions/communications with outside counsel. Work with the Director of Intellectual Property and Licensing in docketing actions and daily communications with outside counsel, faculty inventors and OTD staff regarding time sensitive/deadline driven patent actions. Ensure that faculty and OTD staff are well informed about critical deadlines through management of existing docketing and reporting systems (Wellspring Sophia).
    • Intellectual property-related compliance matters. Work with the Director of Intellectual Property and Licensing in completing timely and accurate reporting of federally funded inventions to the proper government agencies through existing reporting portals (e.g., iEdison), as well as record and report non-governmentally funded inventions.
    • Administration of invention disclosure submissions. Review Technology Disclosure Forms (TDFs) submitted by faculty. Evaluated TDFs for completeness, accuracy, and flag any compliance and reporting requirements. Circulate TDFs for final digital signature. Enter pertinent details into existing database for further action and reporting requirements.
    • Pre-license background diligence. Prior to completion of any grant of IP rights in licensing agreements, this individual will support OTD staff to ensure that (a) OTD has the rights vital to grant the licensing, (b) OTD has an accurate accounting of expenses associated with the license, and (c) OTD has completed a detailed review of any agreements related to the assets in question.
    • Administration of formal documents (e.g., assignments, declarations, power of attorney). Work with Director of Intellectual Property and Licensing to secure from faculty, the institution and outside parties, all necessary legal documents required to process patent applications. Ensure that all documents are completed accurately, signed, notarized (as needed) and stored appropriately.
    • Transactional and project support. Support the process for Material Transfer Agreements (MTAs), Confidential Disclosure Agreements (CDAs), and Interinstitutional Agreements (IIAs), advised to research and licensing activities that are timely and critical to OTD support of faculty research, as well as other special OTD initiatives as they arise.

    Required Skills

    Bachelor's Degree and 1-3 years of experience required. Basic office digital literacy including word processing and data base entry and manipulation also required. Law office experience preferred. Technical background a plus.
