    We are seeking a dynamic Group Housing and Events Coordinator to join our team. A successful candidate will have a genuine passion for the hospitality industry and an entrepreneurial spirit.

    Responsibilities

    Must be courteous and gracious, maintaining a professional demeanor at all times

    Establish and maintain effective communication and teamwork with fellow colleagues and other departments within the hotel

    Offer guests an enjoyable experience that conforms to the LINE’s standards of excellence, professionalism, and friendliness

    Take ownership of all service issues brought to your attention by guests

    Phone coverage for Event Manager when Event Manager is not available.

    Maintain electronic file system

    Create forms, flyers, newsletters, coupons, pertaining to Events.

    Gather and submit all BEO Distro, B&C Pipeline, and Group Resumes data for weekly reports as needed. Assist with POP-UP BEOs and walk to all departments.

    Participate in scheduled departmental and administrative meetings as requested

    Adhere to all standards of operations, policies and procedures, manuals, memos, and verbal instructions

    Be familiar with all safety and emergency procedures including OSHA requirements

    Review group blocks for cut off date extensions, and ensuring the group blocks are created and monitored correctly prior, during, and post the groups dates.

    Attend weekly group pick-up meetings

    Run group arrivals lists daily for future arrival dates and review no-show reports daily.

    Check for duplicate reservations to ensure accuracy of guest names, and any special requests.

    Check for group reservation errors – and contact caller of the reservation or group contact accordingly to obtain and verify information.

    Work with the Events Service Manager and Group Clients with group rooming lists, reservation changes, and group billing – according to contract and email history.

    Complete Group Commission Report, after group departure.

    Monitor room type availability daily.

    Create and maintain group room blocks in Opera. Ensure all reservations have correct billing notes, routing, and all other necessary information.

    Assist in completing all Group VIP reservations, communicating any issues to Events Service Manager and Front Office Manager.

    Research outstanding Travel Agent Commissions for groups.

    Assist Events Manager with rooms only groups (both business room blocks and wedding room blocks) and their resumes

    Handle in-house meetings, trainings and events BEOs

    Search and block spaces for any internal work.

    Handle calendar invite/update for daily BEO meetings and weekly resume meetings.

    Create and distribute pre-planning site forms, walk meetings and guest rooms prior to site visits.

    Assist with sending out BEO Distribution and Resume Distribution.

    Pre-con invites, packets (BEOs, resumes, pickup report, rooming list, etc.) & tent cards preparation.

    Knowledge, Requirements and Skills

    High-School diploma or GED required

    Two-year hotel or related experience preferred

    Excellent reading, writing and oral proficiency in the English Language

    Excellent organizational skills and attention to detail

    Ability to multitask

    Excellent communication skills

    Must be a technically skilled business professional who is willing and able to find innovative solutions and process improvements while maintaining expenses

    Excellent interpersonal and negotiation skills, has high energy and enjoys working with people

    Must be positive, result oriented and able to work well under pressure and guidelines
