    JOB TITLE: Patient Care Volunteer Coordinator

    DEPARTMENT: Staff Education & Patient Care Volunteers

    REPORTS TO: Patient Care Volunteer Manager

    POSITION SUMMARY:

    Reporting to the Patient Care Volunteer Manager, the Patient Care Volunteer Coordinator plays a vital administrative role in ensuring the continuity of service as it relates to the various components of the Patient Care Volunteer Program. This individual facilitates communication and coordinates volunteer services. This individual provides support to patient care volunteers, assists with recruiting, coordinating, training, supervising, and retaining volunteers, as well as coordination of various supportive programs (ex: Pet Peace of Mind, Spiritual Care Volunteer, We Honor Veterans, etc). This person will work in collaboration with the Patient Care Volunteer Assistant to maintain all vital records and files for the Patient Care Volunteer Program.

    EDUCATION AND QUALIFICATIONS:

    • Associate’s Degree in Human Services or related field. • Minimum of 3 years combined experience in marketing, program coordination or staff/volunteer scheduling and supervision required. • Previous experience in healthcare and/or social services preferred.• Ability to network and build relationships with community resources.• Experience in a healthcare setting working with patients and families.• Must possess a valid driver’s license and be able to travel within the community.

    ESSENTIAL JOB RESPONSIBILITIES:

    • Assists with organizing volunteer celebrations and community events.• Coordinates timely collection, entry, storage, and retrieval of volunteer data including AHCA tracking report, time sheets, reporting forms, mileage reports, monthly, quarterly, and annual reports, competencies, and on-boarding documentation. • Collaborates with the Volunteer Assistant to ensure patient care volunteer personnel files are compliant with regulations. • Organizes annual flu shot notifications, obtains documentation from volunteers, and records data for Infection Control department.• Coordinates all Patient Care Volunteer position placements throughout the organization. • Assists with the coordination and planning of Pet Peace of Mind fundraising events and volunteer recruitment events.• Assists with recruiting, coordinating, training, supervising, and retaining volunteers.• Coordinates volunteer on-boarding process for all new volunteers.• Assists with the supervision of patient care volunteer interns as appropriate.• Assists with the coordination of selling hand-crafted items in the thrift shoppes to raise funds for the Pet Peace of Mind Program.• Presents information regarding Patient Care Volunteer Program at Community Outreach events as needed.• Maintains Electronic Record of all newly on-boarded volunteers.• Responsible for running reports to determine when Volunteer Netsmart Credentials need updating, and following up to ensure completion. • Audits Volunteer training completion to ensure compliance. • Assists with developing training materials and presenting as needed. • Assists with the development and production of a Patient Care Volunteer Program newsletter. • Responsible for maintaining communication with Volunteers regarding interests, experiences and needs. • Performs accurate, thorough, and timely documentation in EMR.• Assists Patient Care Volunteer Assistant as needed.• Performs other duties as assigned.

    SKILLS AND COMPETENCIES:

    • Strong Microsoft Office computer skills required.• Experience with electronic medical record charting.• Must possess excellent attention to detail and organization.• Excellent communications skills including face to face, telephone, and written communication.• Strength in successfully interacting with patients, patient families, and agencies while presenting a positive and professional image.• Demonstrate confidentiality, sensitivity, and flexibility.• Ability to work with little supervision while demonstrating a high degree of discretion and independent judgment.
