  • Responsibilities

    *Position Location: Anaheim, CA The Maintenance Contract Administration Specialist (II) is responsible for generating quotes and soliciting on any revenue opportunity in an assigned territory or as otherwise delegated. This includes selling maintenance contracts and per-event service (relocations, out of warranty work). Also assists with budgets, reports and special projects as required.

    • Tracks warranty terms for new contracts
    • Generates quotations for renewal of existing maintenance agreements
    • Tracks installation with Customer Service Engineers
    • Ensures all quotes are generated and sent in accordance with established guidelines
    • Follows-up on all outstanding quotations
    • Tracks outstanding quotations from original quote mailing to receipt of customer’s order
    • Prepares reports as directed to include revenue
      • Updates Contracts Management System as necessary with all appropriate information

        • Manages Customer Profile data gathering for updating customer information in system
        • Ensures all appropriate customer contact information is provided to the Customer Support Center as well as Field Management
        • Administers Handover process
        • Attends Critical System Integration meetings for customer updates
        • Attends weekly/monthly meetings and follows-up on reconciliation action items for continued revenue flow
        • Presents maintenance agreements to customers
        • Receives purchase orders and create Purchase Configuration (PCON) and track for department signatures
        • Performs basic calculations to increase pricing year over year for Established Pricing. If pricing has not been established, works with Program Manager to obtain pricing.
        • On average, s/he works on more complicated tasks than a Maintenance Contract Administration (I), as determined by the Manager
        • Occasional requirement to create invoices and distribute to customers.

        The Maintenance Contract Administration Specialist (II) works under the moderate supervision of Contract Administration Manager, on all assigned tasks. 

         The person in this position does not supervise other employees.

     
    
     
    

    Required Skills

    • Must have an Associated Degree in Accounting or Business Administration or two years of maintenance contract experience
    • Must have a minimum of three years’ coursework or experience in a clerical, procurement specialist or contract administration position
    • Must demonstrate an intermediate knowledge of all processes, procedures and goals
    • Must have experience managing a contract database
    • Must have excellent computer skills using Microsoft Office applications
    • Must be proficient with Service call tracking system/database
    • Must be able to gain basic knowledge of Company technologies and products
    • Must demonstrate exceptional verbal and written communication skills in order to interact with customers regarding all aspects of support contracts and with all management levels in the Company regarding issues, concerns and corrective action plans to Management Team
    • Must have good interpersonal skills with the ability to build relationships and interact with all levels across the organization
    • Must be customer oriented and provide the highest level of Customer Service
    • Must have creativity and good problem-solving skills
    • Must have strong organizational and planning skills in order to prioritize workload in order to handle multiple projects simultaneously
    • Must be detailed-oriented and able to work under constant deadlines, with a strong service-focus
    • Must be able to work well under pressure

    TRAVEL REQUIREMENT, WORKING CONDITIONS AND PHYSICAL DEMANDS:

    Travel requirement, such as:

    • Occasional overnight travel as required; should not exceed 25% of the time.

     Working Conditions, such as:

    • General office environment. The work area is adequately lighted, heated, and ventilated.

     Physical Demands, such as:

    • Office environment where the employee may sit comfortably to do the work. Some walking, standing, bending, reaching, and carrying of light items such as papers, books, small parts; driving an automobile, etc. Requires eye-hand coordination and manual dexterity sufficient to operate a keyboard, photocopier, telephone, and other office equipment. Vision abilities required by this job include close vision to the screen. The employee must be able to focus, analyze and assess information
