    Akebia is seeking a self-motivated, hands-on HR Operations Specialist with extraordinary organizational and critical thinking skills who can help the HR team continue to deliver value through process improvement and project management oversight, providing overall excellent customer service to Akebia employees.  The HR Operations Specialist will provide direct support to business processes while also working to simplify people processes.  Additionally, s/he will have experience with benefits, FSA and HSA plans.  The position reports to the Sr. Director, HR Total Rewards & Operations.

    Required Skills

    • Organizes and conducts onboarding, offboarding and orientation of staff and contractors, including coordinating with respective internal systems and administrative areas, e.g. Payroll/Equity/Finance, IT, Quality; making sure those involved are informed, and required information is accurate and complete.
    • Main point of contact for payroll, benefits, and HR systems inquiries.
    • Assist with benefits administration for all employee offerings including enrollment, life events, billing reconciliation, inquiries, and discrepancies. Keeps informed of state and federal benefits changes.
    • Proactively identify process gaps and recommend audits, updated workflows, and tools to ensure data integrity
    • Provide Project Management support with various HR projects and initiatives (ex. open enrollment, seasonal onboarding, HR technology implementation, etc.)
    • Manages human resource records (electronic and paper). Ensures employee files (current and terminated), are properly established and maintained in accordance with legal requirements including CV or resume, offer letter, job description, performance evaluations, and separate files for I-9 and health information, etc.
    • Monitors and processes unemployment, workers compensation, insurance claims and correspondence.
    • Provide administrative support for budget management. Including tracking spend and coordinating the PO request and contract approval processes.
    • Coordinate quarterly fiduciary committee meetings.
    • Maintains HR Intranet Portal and updates when necessary. Posts information on benefits, HR initiatives, special programs or other HR related information on the relevant Slack channels.
    • Coordinates the employee exit process. Sends out Exit Survey and materials for offboarding.  Ensures all materials are returned in a timely manner.
    • Coordinates the verification of employment process with Truework (3rd party vendor).
    • In support of the HR Operations Manager, support the launch of all employee lifecycle events including performance review planning, compensation planning, talent development, goal setting…etc.
    • Maintains HR tracking systems such as the employee lifecycle calendar, compliance calendar.
    • Management of Akebia’s “swag” process, inclusive of ordering and distributing.

    Required Experience

    BASIC QUALIFICATIONS

    • Minimum 2 years’ experience in benefits administration, billing and working with vendors

    and experience in employee benefits administration.

    • Bachelor’s Degree in HR or related field.

     

    PREFERRED QUALIFICATIONS

    • HR certification
    • Attention to detail and ability to prioritize and complete tasks in an environment with frequent interruptions.
    • Ability to work effectively autonomously, as well as collaboratively in a team.
    • Proficient in Microsoft Office (Excel, Word, Power Point, Access); Zoom, and internal file sharing software.
    • Excellent organizational and project management skills with focused attention on accuracy and thoroughness.
    • Knowledge of HR-related federal and state laws, e.g. FLSA, FMLA, PFML, COBRA, ERISA, HIPAA.
    • Experience with HRIS (UltiPro) systems.
    • Strong math proficiency and analytical problem-solving.
    • Ability to work under pressure and challenging deadlines; adaptability, flexibility required.
    • Advanced Excel Skills, proficient in pivot tables, v-lookups and charts and database management.
