    The Events Coordinator is responsible for the prospective student experience on campus. The position manages our student leadership teams including the ambassador and ambassador lead programs. This position is responsible for assisting in the programming of and managing of all recruitment events on and off campus. Other responsibilities are assigned as needed.

     

    REQUIRED EDUCATION

    • Bachelor’s degree.

     

    REQUIRED EXPERIENCE

    • 1 year of recruitment and leadership experience. Event planning experience preferred.

     

    PRIMARY DUTIES

    Campus Event Planning

    • Assist in planning and managing admissions event programming including APU Preview Days, College Planning and Financial Aid Forum, Trustees’ Scholarship Weekend, Out-of-Area Summer Orientations, Transfer Days, Financial Aid Nights, On-Campus Summer Orientation, and various other one-off events. 
      • Partner with leadership team and UR in promotional materials development.
      • Based on evaluation of counseling team’s strengths and experience, assign event-related duties to professional and student staff members.
      • Assist in supervising admissions team members for events.
      • Communicate event-related information to campus partners and volunteers.
      • Update and send out post-event surveys to prospective students and families to continuously improve each event.
      • Spearhead planning and re-designing of admissions events as needed.
    • Plan and execute all virtual events via Zoom Meetings, Zoom Webinar, and Platform Q. This involves creating the schedule for virtual events, scheduling events on these platforms, obtaining interns if necessary, sending calendar invites to participants, and hosting event.
    • Implement Ambassador and Ambassador Lead programs:
      • Hire, train and supervise both Ambassadors and Ambassador Leads.
      • Develops program to provide incentive (intrinsic or monetary) for 100+ Student Ambassadors who host guests as they visit campus both in individual settings and group events.
      • Assist in implementing a year-long training and leadership development program for both Ambassadors and Ambassador Lead programs.
    • Test, manage and train staff on the usage of the SRM Events module as implementation requires.
    • Spearhead department specific recruiting events.

    Ambassador and Lead Supervisor

    • Hire, train and supervise all student leaders.
      • Recruit and interview potential student ambassadors and leads.
      • Communicate expectations for the coming year to new ambassadors and leads.
      • Trains all ambassadors and leads on all aspects of job responsibilities, including various kinds of tours and groups, as well as quick facts about APU, and event weekend details.
      • Schedule regular group and individual meetings with ambassadors and leads for purposes of encouragement, accountability and growth.
    • Student team management:
      • Hire, train and supervise 10 Ambassador Leads.
        • Plan/coordinate student groups, meetings, connection points.
        • Schedule and organize regular group meetings for Leads only.
      • Hire, train and supervise 150 Ambassadors
        • Coordinate students gatherings, training, and accountability programs.
        • Oversee post card program for every overnight.
        • Approve timecards/expense reimbursements.

     

    SKILLS

    • Excellent oral and written communication skills.

    • Self-management/organizational skills.
    • Need strong communication skills on a one-to-one and group basis, in person and on the telephone.
    • Ability to work independently, present self in a professional manner and reflect the goals and standards of APU.
    • Initiative and good judgment.
    • Ability to keep information confidential.
    • Ability to learn procedures and retain information.

    PHYSICAL DEMANDS

    • Requires repetitive motions and sitting at computer keyboard.
    • Hearing and speaking on the telephone.
    • Ability to conduct business at various offices on campus.
    • Able to lift, pull, grasp, stoop to lower file drawers and reach to top of five-drawer file cabinets.
    • Availability to do moderate travel.
    • Possess a valid California driver license.
    • Able to lift 10-20 lbs. occasionally.

     

    VISUAL DEMANDS

    • Computer monitor, reading, driving.

     

    ENVIRONMENT

    • Pleasant office setting, comfortable temperature.

     

    TECHNOLOGIES

    • Proficient in Microsoft Office, Word and Excel.
    • Comfortable in Oracle and Salesforce.

     

    COMPENSATION

    • Grade 9: $23.58-$30.65/hourly.
    • Salary will be commensurate with qualifications, experience, and internal equity.

    • Masters in Psychiatric Nursing from an ANA accredited School of Nursing
    • Continuing education credits as required by the ANA certification of expanded role authorization
    • Licensure by the Commonwealth of Massachusetts Board of Nursing Registration
    • American Nursing Association Certification as a Psychiatric Nurse Practitioner
    • Registration with the Commonwealth of Massachusetts Department of Public Health in accordance with MGL C. 94C
    • DEA # showing registration with the US Federal Drug Enforcement Administration
    • Medicare Provider
    • Clozaril Certification strongly preferred
