We are a newly launched One Hour Heating & Air Conditioning franchise serving the Fuquay-Varina and greater Raleigh area. JOB SUMMARY
This position serves as the first point of contact for our customers and the operational backbone of our field team. As our Office Coordinator, you will handle all inbound customer calls, book service appointments, and dispatch our technicians to ensure maximum scheduling efficiency without ever compromising client satisfaction.
This is a dual role ideal for someone who is equally comfortable on the phone with customers and managing a busy dispatch board. You will be the voice of our company and the engine that keeps our technicians productive and our customers happy every single day.
JOB DUTIES
Customer Service & Call Booking
Answer all inbound customer calls promptly and professionally, you are the first impression of our company
Book service calls, maintenance appointments, and installation estimates with accuracy and efficiency
Handle online booking requests, website inquiries, and follow-up communications
Send appointment confirmations and reminders to customers ahead of scheduled visits
Notify clients ahead of time without fail if the technician is not going to arrive within the scheduled time window
Reschedule appointment times at the client's convenience as necessary
Follow up with customers after completed jobs to ensure satisfaction and encourage Google reviews
Resolve customer complaints professionally and escalate to ownership when needed
Dispatching & Field Coordination
Manage the dispatch board to keep field personnel on the move, servicing clients, and generating revenue
Make every effort to compress call scheduling, effectively maximizing productivity and revenue
Send the right technician to the right job based on skill level, location, and availability
Communicate with technicians in the field throughout the day to relay updates, job details, and customer notes
Coordinate with vendors and suppliers to arrange efficient delivery of parts to technicians in the field
Debrief with technicians upon completion of jobs to identify any outstanding client satisfaction issues
Monitor job progress and adjust the schedule as emergency or same-day calls come in
Office & Administrative
Maintain accurate customer records, job notes, and equipment information in field service software
Create and manage work orders and invoices
Assist with parts ordering and vendor coordination
Support ownership with day-to-day administrative needs as required
MINIMUM REQUIREMENTS
High school diploma or equivalent required
Strong phone presence warm, professional, and confident with customers
Prior customer service experience required
Strong computer and multitasking skills
Ability to stay calm and think clearly during busy periods or scheduling conflicts
Reliable, punctual, and self-motivated
Prior dispatch or scheduling experience in a trades environment preferred
ServiceTitan experience is a strong plus and will be prioritized in our hiring process
WHAT WE OFFER
Competitive hourly pay: $18–$22/hr based on experience
Full-time, stable year-round position
