    Executive Administrative Assistant

    We are looking for an expert multitasker with excellent communication skills and an upbeat attitude. The Executive Administrative Assistant will assist the CEO and other office staff to conduct the business of the company by providing clerical and research support services including document preparation and review; research, and other general administrative tasks as needed.

    The successful candidate is an energetic professional who does not mind wearing multiple hats and working in a fast-paced, high-pressure environment. Experienced in executive support-related tasks and managing a wide range of administrative duties, able to work independently with little or no supervision. Well organized, flexible, and enjoys the administrative challenges of supporting the CEO and other staff. This is a small office, and all employees will be expected to be part of the team.

    Executive Administrative Assistant Responsibilities:

    • Represents CEO by communicating on their behalf and obtaining information, following up on delegated assignments, and knowing when to act and when to refer matters to the CEO.
    • Composes letters and routine correspondence using Microsoft Office programs.
    • Handles office tasks, such as filing, generating reports and presentations, setting up meetings, and reordering supplies.
    • Provides real-time scheduling support by booking appointments and preventing conflicts.
    • Screens phone calls and routes callers to the appropriate party.
    • Makes travel arrangements, such as booking flights, cars, and making hotel and restaurant reservations.
    • Generates reports, transcribes minutes from meetings, creates presentations, and conducts research.
    • Prepares, organizes, stores, and retrieves project files, and other items.
    • Provides administrative support for the office and maintains electronic and hard copy files.
    • Performs other related duties as assigned.

    Essential Executive Administrative Assistant Qualifications:

    At minimum, an associate degree in a related field

    3 to 5 years of prior administrative assistance experience, preferably with senior executives

    Excellent computer skills and proficiency in Microsoft Office Software

    Attention to detail and exceptional organizational skills
