Your Role as an Office Manager: Responsible for administrative and office support functions, facilitating new client and existing member flow. Actively overseeing all scheduling activities and responsible for delivering the ultimate client experience (UCE) to all clients.
MAJOR RESPONSIBILITIES:
- Ensure adherence of all protocols and procedures according to HC business rules.
- Assists the MD and provide back in their absence.
- Ensure all Front Desk Area duties are completed timely and accurately.
- All Client related paper work is organized and kept out of view of other clients and is stored according to HC Business Rules.
- Ensures bank deposits are made by 2:00 PM, in the absence of the MD.
- Ensures all money collected is secured during the day.
- Ensures petty cash protocols are followed.
- Ensures the accuracy of all data entry.
- Determines accuracy of the daily transaction reports by initializing paperwork all while adhering to correct closing procedures.
- Gathers information for the weekly accounting package.
- Ensure services are scheduled to maximize productivity.
DAILY RESPONSIBILITIES:
- Responsible for the overall organization and operation of the administrative area.
- Ensures cash drawer is kept at proper balance daily and is secured in the safe each night upon closing.
- Ensures petty cash balances are secured in the center's locked safe.
- Ensures scheduler complies with Hair Club standards for scheduling.
- Ensures all client files including EFT information are maintained and stored in a secure, locked location.
- Responsible for assisting the MD/CRM in managing the Membership.
- Ensure all program fees and forms of payment are up to date and accurate.
- Ensures accuracy of monthly program fees for processing.
- Assist in collecting PCP receivables.
- Ensure all services are charged according to the HC Business Rules.
- Trouble shoot customer care concerns along with the MD/CRM, Sales consultant and Stylists.
- Ensure protocols for hair ordering are followed using sound judgment when deviating from protocol.
- Expedite hair orders by using priority hair.
MONTHLY RESPONSIBILITIES:
- Responsible for maintaining inventory by adhering to ordering protocols
- Ensure timely ordering of all retail products to prevent outages
- Keep shipping charges to a minimum when ordering product and hair
- Maintain proper product inventory levels.
OTHER RELATED RESPONSIBILITIES:
- Responsible for supporting sales and all management goals on a daily basis.
- Presents and maintains a polished, business professional image at all times adhering to the "Dress Code" as described in the HC handbook.
- Ensures cleanliness and maintenance of entire center while adhering to Hair Club standards.
- Exhibits sound judgment in decision making for the general good of clients, employees and the company.
- Deals with client issues in an expedient and fair manner, providing superior customer service.
- Ensures center is secure at the end of each day.
PERFORMS OTHER REASONABLE DUTIES AS REQUIRED.
SKILLS PREFERRED:
- Background in hair replacement, hotel, restaurant, dating or other service-related industries.
EFFORT:
- Ability to manage multiple priorities and work under pressure.
- Highly organized and works efficiently.
WORKING CONDITIONS
- Office environment.
- Limited travel required
- Ability to work extended hours when necessary.
