About the Organization Haitian Bridge Alliance, Inc. (HBA) also known as “The BRIDGE” is a 501(c)(3) grassroots nonprofit community organization that advocates for fair and humane immigration policies and provides migrants and immigrants with humanitarian, legal, and social services, with a particular focus on Black migrants, the Haitian community, women and girls, LGBTQIA+ individuals, and survivors of torture and other human rights abuses. HBA works to elevate the issues unique to Black migrants and build solidarity and collective movement toward policy change.

This position is remote and requires regular domestic and international travel, sometimes on short notice, including challenging areas of the US-Mexico border. Candidates based in Southern California and specifically Orange County will be prioritized. This position will work PST hours.
About the Role
The Haitian Bridge Alliance is looking for an Executive Assistant who is an agile, detail-oriented, self-starter who thrives in a fast paced environment. To be successful at our organization you will need to enjoy initiating, working on, and completing dozens of tasks at once with a great attitude, follow-through, and a meticulous eye for detail.
As the Executive Assistant to the Co-Founder/Executive Director you will provide executive-level administrative and special project support.
Responsibilities Include:
Provide sophisticated calendar management for the Founder/Executive Director. Organize and schedule meetings, conferences, and travel.
Coordinate complex schedules and logistics, plans for preparation and debriefs, track delegated assignments, monitor deadlines, and diligently manage the principal’s time.
Ensure press requests are completed quickly and efficiently; work with the communications team to ensure seamless internal communication
Read, organize, and route inbox correspondences with the utmost commitment to privacy and discretion. Prioritize emails and monitor the approvals process.
Collaboratively develop and prepare materials with organization staff
Track commitments of the Founder/Executive Director, seeing them through to completion
Serve as a point person for questions and requests of the Founder/Executive Director
Process expenses and reimbursements for the Founder/Executive Director with the help of the Operations Director
Maintain positive working relationships with staff at all levels of the organization
Staff the Founder/Executive Director at events and travel with them when necessary, including to areas of the US-Mexico border
Undertake special assignments at the request of the Founder/Executive Director and provide necessary support on leadership activities.
Take and distribute notes amongst staff and partners when appropriate
Ability to complete high volumes of tasks with minimal guidance or supervision and deadline sensitivity.
NOTE: We are a dynamic organization in a rapidly changing political landscape. Therefore, the responsibilities associated with this position will evolve and grow in accordance with the organization’s growth.
Qualifications:
Candidates must be fluent in spoken and written Haitian Kreyol. French and/or Spanish are a plus.
Experience as an executive assistant, as a scheduler, or an administrative role
Eagerness and ability to take on administrative work with an exceptional degree of organization and completion
Growth mentality; open to and welcomes feedback with the ultimate goal to grow and succeed
Ability to work both independently and as a team player in a fast-paced dynamic environment and handle multiple priority tasks simultaneously
Ability to exercise independent judgment, and a high degree of diplomacy and confidentiality
Computer proficiency in Google products - especially multiple calendars across different time zones
Experience staffing principals, candidates or executives a plus
Experience with photography and social media a plus
