    MAJOR FUNCTION: The Assistant to the Dean is housed within the Admissions and Records Office and will report directly to the Dean. The Assistant to the Dean (ATD) functions as a generalist within assigned areas of responsibility.  Duties include, but are not limited to:

     

    • Provides administrative support to the Dean and the Admissions and Records Office including answering and returning phone calls, scheduling meetings and appointments. Resolves student issues/complaints, answers questions and interprets College policies and procedures for students, parents, faculty and staff. Researches and problem solves student inquires. Assists the Dean with writing, proofing, updating:  the college calendar, office forms, the Student Handbook, College Catalog, department areas of the website and maintaining departmental correspondence.   Manages departmental email accounts and disseminates and/or responds as needed.  Maintains Emergency Procedures Manual and staff emergency contact list. Serves as co-caption for the Emergency Response Team. Responsible on a daily basis for reviewing, date stamping, sorting and distributing incoming U.S. mail and packages for the Department. 
    • Research and respond to court ordered subpoenas for student records which includes notifying the student, making contact with the attorney that sent the subpoena, and gathering the necessary documents to satisfy the records request in the subpoena. Responds to Department of Corrections Offender Notifications for enrollment verifications and disseminates the information to Chief of Police and Judicial Affairs.  Also, responds to Federal Government and State of Florida records requests as needed.
    • Coordinates and processes the state employee tuition waiver registration process including applying exemptions to eligible students. Responds to emails sent to the state employee email account, explains the tuition waiver process to prospective students and runs appropriate reports each session.
    • Tracks and monitors budget activities. Handles all aspects of payroll and ensures leave requests and timesheets are submitted for OPS employees and Work Study students.  Assists with the maintenance of the shared departmental calendar.  Prepares spend authorizations and expense reports for travel.  Obtains price quotes and submits requisitions, disbursements, and purchase order requests and reconciles the supplier invoices. Monitors and maintains appropriate levels of department supplies, office forms, equipment toner and makes purchases as needed to replenish.  Reconciles monthly expenses on the Purchasing Card.
    • Researches best practices and assists in the development of materials needed to sustain departmental programming; assists with special projects as requested.

     

     

    MINIMUM TRAINING/EXPERIENCE:  Bachelor’s degree and one (1) year of administrative experience.

    Required Skills Required Experience

  • Qualifications
    • Experience with public Cloud environments and APIs Web services
    • Web Services experience required.
    • Specific experience in Healthcare clinical and/or payor/provider exchanges using HL7v2, FHIR or EDI exchanges
    • Must have a background in installing services in cloud environments, including IIB and configuring service transformation and routing
    • Agile/SAFe Software Development and Management methods and ability to excel within an "Agile" environment
    • Strong Linux skills, including Perl and bash
    • Strong Scripting skills, including ruby, groovy,
    • Experience with Source Control Management, automation tools
    • Expertise with build automation tools– Jenkins preferred
    • Experience with: Build time dependency management (Maven, Ivy), Unit testing and code coverage tools (JUnit), Functional test automation techniques and tools (Selenium, Fortify, JMeter etc.)
    • Knowledge of source code control management systems and configuration management (Git and Rational preferred)
    • Experience with Open Source Repository Manager (NPM, Sinopia)
    • Experience with Linux and creating Virtual Machines (Vagrant)
    • Good understanding of Quality Control and Test Automation in Agile-based Continuous Integration environments
    • Prior DevOps, Ansible, Jenkins, Git, GitHub,Tomcat and Virtual environment experience
    • Experience with content management and issue tracking (CA Rally, Atlassian tool suite)
