    JOB SUMMARY

    The Pro Bono Coordinator will work directly with the Pro Bono Counsel and Public Service Manager to manage administration of the Pro Bono and Community Service Programs. The position involves interaction with all stakeholders both internal and external.

    The Coordinator must be highly organized, possess excellent communication (oral and written) skills, be able to multitask in a fast-paced environment, meet concrete deadlines, have a can-do attitude, be able to anticipate next steps and be a solid team player. The ability to perform analytical work with a high level of attention to detail and high standards for accuracy and quality are required. Maintaining positive relationships, both internally and externally, while maintaining a client-service orientation and using independent judgment and discretion in dealing with confidential information are also required.

    PRINCIPAL DUTIES AND RESPONSIBILITIES*

    • Facilitate, manage and track intake of new pro bono matters.
    • Monitor standard reports of pro bono activity.
    • Monitor specialized pro bono databases and tracking systems.
    • Assist with preparation of survey responses and other external reporting of pro bono and community service activities, including reports of services rendered to clients referred by legal service organizations.
    • Assists in organizing work schedule of Pro Bono Counsel by maintaining calendar and contacts, scheduling appointments and coordinating travel arrangements.
    • Assist with DC philanthropy partner relationships, including volunteer events, preparation of relevant materials and varied requests for in-kind and volunteer support. Additionally, provide administrative support for firm-wide philanthropy partnership and Boston’s Summer Leadership Institute, as needed. 
    • Plan and execute pro bono events and legal trainings; coordinate with CLE staff as necessary.
    • Organize and manage staffing of pro bono clinics; both standing and ad hoc. Through consultation with Pro Bono Counsel, ensures appropriate staffing levels for clinics.
    • Draft and manage responses to requests for pro bono legal assistance, including identifying external resources and points of contact.
    • Coordinate with Knowledge Management staff to ensure availability of training and matter support materials.
    • Monitor and effectuate matter closings through coordination and outreach to Partners/Supervising Partners.
    • Assist lawyers and staff with submission of New Business Intake (NBI) requests and production of engagement letters.
    • Work with Public Relations and Communications staff to ensure appropriate visibility of firm pro bono and community service activities.
    • Handle all administrative tasks related to Pro Bono and Community Service Committee meetings.
    • Maintain lists of current pro bono clinics and discrete matters for each office.
    • Secure, from departing attorneys, status report on all open pro bono matters in which he/she has billed time or served as the supervising billing or filing attorney.
    • Research requests for assistance using PACER and other resources.
    • Demonstrate knowledge of Firm’s pro bono policy.
    • Demonstrate knowledge of Firm’s risk management policies.
    • Contributes to the firm's Service Excellence initiative to consistently improve its image internally and externally. Displays professionalism, quality service and a "can do" attitude to internal members/departments of the firm as well as external clients and vendors via electronic and print correspondence, over the telephone and in-person.

    EDUCATION:

    • Bachelor’s degree

    Required Experience

    • Familiarity with law firms and/or non-profit legal service providers.
