Job Description
Hamilton Stephens is an established mid-sized law firm that wants to add a Billing Coordinator to its operations team. The firm enjoys an excellent professional reputation and prides itself on delivering exceptional legal services while maintaining a friendly, supportive and relaxed atmosphere. This position will be responsible for all aspects of the billing process to help the firm continue to deliver efficient and outstanding legal results for its clients.
RESPONSIBILITIES
- Primary responsibility for all operations related to billing, including:
- Printing & distributing prebills for attorney review and markup;
- Preparing edits and exporting finalized bills and statements by PDF to clients or paralegals;
- Responding to billing inquiries in a timely manner; and
- Preparing special billing report requests as needed;
- Managing full cycle e-billing procedure for certain clients who require it. This includes:
- Processing edits and exporting bills in LEEDS format through 3rd party vendor portals;
- Tracking progress of invoices from submission through final acceptance;
- Assisting with appeal process for rejected line items and resubmission of invoice;
- Tracking deductible claim amounts as well as final write off amounts; and
- Creating new clients and vendor portals, including new timekeepers, budgets, billing rates, etc.
- Coordinating with other firm departments, particularly finance , personnel, and IT to assist Managing Partners in daily operations.
- Facilitating communication between lawyers, staff, clients and 3rd party vendor reps to improve and enhance billing efficiency throughout the firm.
- Cross-training with other back office operations, primarily finance and accounts payable, for redundancy.
QUALIFICATIONS
- Education: Bachelor’s degree preferred.
- Experience: 3+ years of billing experience, preferably in a law firm, professional services, or other organization that deals with insurance billing.
- Proficiency with Microsoft Office Suite applications and ability to quickly understand new software programs.
- Candidate must be detail-oriented and be dedicated to accuracy at all levels.
- Candidate must possess sound judgment and conduct themselves ethically and professionally. The firm wants someone who will improve current processes and who will initiate and welcome change and innovation.
- Oral and written communication skills are a must, as is an ability to collaborate effectively with diverse group of professionals.
- Ability to work independently on tasks and establish and follow a regular routine for maintaining a workflow which resets monthly.
- Must be an approachable team member with a can-do attitude and trouble-shooting capabilities.
SALARY & BENEFITS
Salary offered will be dependent on experience. The potential approximate salary range is from $45 to 65K. The most desired candidate would have 5 years’ experience and a confirmed track record within the legal industry and therefore make about $60k as an initial salary.
