We support this goal in Human Resources (HR) with training designed to enhance employee skills, performance, and job satisfaction.  The HR Administrative Assistant/Receptionist is the Director of First Impressions for the company.  This position is an integral part of the human resources team specifically responsible for providing support to the organization by attending to and dealing with all inquiries on the phone and face-to-face.  The HR Administrative Assistant also works closely with all internal departments in support of the business.

      

    RESPONSIBILITIES

     

    ·         Promote Safety as the Number One Priority of all HTC employees.

    ·         Human Resource functions including: Employment/Recruiting and onboarding.

    ·         Acting as an immediate contact with the organization’s customers, vendors, and visitors.

    ·         Answers the telephone, screens, and directs calls, which may include taking and relaying messages, providing information to

              callers, and directing persons to the correct destination.

    ·         Ensure knowledge of staff movements in and out of the organization.

    ·         General administrative and clerical support.

    ·         Prepares and collates and organizes letters, documents, and presentations.

    ·         Receives and sorts mail and deliveries.

    ·         Maintains schedules and calendars.

    ·         Responsible for catering and event planning functions.

    ·         Maintains the reception area, conference rooms and general break areas.

    ·         Maintains Application logs and Check logs

    ·         Maintains Employment and Attendance records as needed

    ·         Works on special projects as assigned and assist other departments as needed.

    ·         Ability to use hands to finger, handle, or feel objects and tools, reach with hands and arms, regularly lift and/or move up to 15 pounds.

    ·         Performs other tasks as assigned.

    KEY PRIORITIES

    ·         Possess understanding of HR functions.

    ·         Recruiting:  Seeks out, interviews, screens and recruits job applicants to fill existing company job openings; discusses personnel

              needs with department management to prepare and implement recruitment programs.

                  o   Provides information on company facility and job opportunities to potential candidates; interviews applicants to obtain work                               history, education, training, job skills and salary requirements. 

                  o   Screens and refers qualified candidates to managers for follow up interviews; corresponds with job applicants to notify the of                           employment decisions.

    ·         Managing clerical HR paperwork and HR filing system.

    ·         Coordinating Wellness Events and Employee Activities

    ·         Provides administrative support to the HR team, including scheduling Occupational Health, Return to Work, New Hire

              employment, and other clerical functions.

    ·         Organizing new hire orientation packets

    ·         Assist with interview process and Career fairs.

    ·         Support for General employment activities, Open Enrollment, and Compensation planning.

    ·         Handles all new hire administrative requirements.

    ·         Provides overall support to the HR department.

    ·         Works on assigned projects as needed.

     REQUIREMENTS

    ·         High School Diploma -Bachelor’s degree preferred.

    ·         Knowledge of administrative and clerical procedures.

    ·         Knowledge of customer service principles and practices.

    ·         Excellent verbal and communication skills.

    ·         Information management skills.

    ·         Strong planning and organizational skills/initiative.

    ·         Reliability and stress tolerance.

    ·         Ability to multi-task and meet deadlines.

    ·         Ability to establish and maintain relationships inside and outside the organization at all levels.

    ·         Proficiency in MS Office, especially Word, PowerPoint, and Excel.

    ·         Positive attitude, good judgment, and excellent time management skills.

    ·         Strong sense of confidentiality, responsibility and ownership.
