    Harrison Gray Search and Consulting is looking for a part-time Office Manager / Executive Assistant in Grand Rapids, MI.

    Days are flexible, 20 hours a week desired.

    This position will play an instrumental role in supporting the firm’s long-term plans. The company is currently seeking an experienced administrative assistant to professionally serve the CEO, and provide administrative and management services to the production staff at Harrison Gray.     Job Requirements

    PRIMARY RESPONSIBILITIES:

    • Ensure clean and crisp reports are delivered timely leadership + team

    • Ensure departmental quality control procedures are completed and documented

    • Develop and maintain engagement letters and correspondence

    • Running point on candidate offer process

    • Assist with reporting from various firm-wide systems

    • Sending Invoices to clients and ensure timely payment

    • Various office projects as assigned

    DAILY ACTIVITIES:

    • Answer main company line

    • Answer CEOs personal line

    • Help CEO with Calendar Management / internal external meetings

    • Running reports, analyzing metrics

    • Be point of contact when new hires start - provide training (in time)

    • Be point of contact for external clients billing departments

    • Walk employees through monthly commission forms

    • Greet guests when they arrive

    • Ensure kitchen is stocked with coffee, forks, knives, etc.

    • Work closely with CEO on special projects + long term objectives

    • Other various office projects as assigned

    QUALIFICATIONS:

    • Mastery of Microsoft Word and Adobe Acrobat

    • Working knowledge of Excel

    • A resourceful thinker who can multi-task and produce timely deliverables

    • Understands the appropriate sense of urgency and performs well with deadlines

    • Excellent verbal and written communication, interpersonal skills

    • Demonstrable prioritization skills in a role supporting more than one manager

    • Strong organizational skills

    • Independent, able to work with little supervision

    • Recent experience in a document editing role is strongly preferred

    • Bachelor’s degree preferred
