    We are a small boutique Business Management firm looking for an Executive Assistant to the CEO to join our team. We provide business management services for small businesses and creative individuals. Our roster spans a wide range of businesses including celebrity Fashion Stylists, Hair and Make-up Artists, Photographers, Publicists, Writers, and Production Designers in the entertainment industry.

    Responsibilities:

    • Support high-volume desk for CEO of growing business management firm

    • Facilitate communication between CEO and internal team

    • Assume principal control of all meeting requests, ensuring the CEO’s time is well-utilized

    • Manage office supply inventory

    • Assist CEO in onboarding new clients

    • Create daily to-do lists, agendas, and meeting reminders

    • File important financial and legal documents; maintain confidentiality

    • Answer phones and e-mail; correspond appropriately and communicate with clients

    • Review and revise financial documents, draft letters and manage client database

    • Distribute customer invoices and ensure that receivables are collected in a timely manner

    • Maintain an organized and streamlined accounting system

    • Pay debts as they come due for payment, including necessary bills as well as supplier and vendor invoices

    • Some personal errands and tasks for the CEO as needed

    Qualifications:

    • Excellent organizational skills and ability to manage a variety of tasks successfully

    • Ability to deal with high-pressure situations

    • Self-starter, detail oriented; self-driven and possesses the ability to take initiative and anticipate client needs

    • Ability to work individually and in a team environment

    • Must have a “can-do” attitude

    • Previous administrative and/or office experience preferred

    • Knowledge of Entertainment Management is helpful

    • Ability to deal with sensitive and confidential information

    • Proficient in Word, Excel, Google Workspace, and willing to learn Quickbooks

    • Familiarity with Trello a plus
