    Job Description

    JOB TITLE: Part-time Administrative Assistant     

    FLSA CLASSIFICATION:  Non-Exempt / At-Will     WORK TIME: Up to 20 Hours Per Week

    PAY:  $12.00 to $15.00 (DOE)                         REPORTS TO:  Operations Manager

                                    SUMMARY/OBJECTIVE:

    As the part-time administrative assistant, you will provide multiple clerical duties and responsibilities.  You will assist the Head Hospitality, LLC’s business owners and the full-time administrative assistant by handling a variety of tasks in order to ensure that all interactions between the organization and others are positive and productive.  

    We are looking for an energetic and ideal part-time administrative assistant who is a master multi-tasker with excellent organization and communication skills, a positive attitude, displays humility, an eagerness to learn, and strong interpersonal and social relationship-building skills. 

    REQUIRED EDUCATION AND EXPERIENCE:

    • High School Education, GED, or equivalent
    • Prior Secretarial, Clerical, Administrative Experience
    • Valid Texas Drivers’ License and Personal Auto Insurance Policy

    SKILLS AND KNOWLEDGE REQUIREMENTS:

    • Exhibit excellent organizational skills
    • Ability to learn quickly and swiftly implement processes and procedures
    • Exhibit excellent computer operating skills
    • Proficient knowledge of Microsoft Office Suite
    • Proficient knowledge of QuickBooks software
    • Proficient to excellent typing skills
    • Profession knowledge of Affinity Designer software
    • Excellent written and verbal communication skills
    • Ability to properly write and create forms, letters, memorandums, and documents
    • Ability to be a self-starter
    • Ability to pay strong attention to detail
    • Exercise strong organizational and problem-solving skills
    • Ability to multi-task various duties and responsibilities
    • Ability to exhibit a genuine personality that is polite, positive, and engaging with all team members and stakeholders
    • Ability to pay attention to detail
    • Ability to report to work as scheduled

     

    ESSENTIAL FUNCTIONS:

    • Ability to read and follow verbal and written instructions
    • Excellent written and verbal communication skills
    • Ability to be a good team player
    • Ability to implement business city ordinances to minimize the spread of COVID-19
    • Ability to drive a personal vehicle to run errands for the company

    MAJOR DUTIES AND RESPONSIBILITIES:

    • Answer, respond, and / or route incoming phone calls for the company
    • Properly sort, organize and file documents
    • Main company email addresses
    • Respond to incoming emails and/or reroute emails to the appropriate person
    • Mail out postcards, checks, etc.
    • Ensure information on the company websites are accurate and make corrections to the websites as needed
    • Assist with creating and sending out invoices
    • Organize receipts and store in proper form
    • Assist with prepping timesheets for payroll
    • Run errands for the company (as needed)
    • Create forms and documents as directed
    • Create memos / letters for businesses using Affinity Designer
    • Assist with maintaining inventory and assisting with taking inventory twice weekly
    • Manage and process purchase order requests
    • Assist owners, fulltime administrative assistant, chef, and managers with clerical related duties as requested
    • Attend team meetings as instructed
    • Other duties as assigned

    PHYSICAL DEMANDS:

    • Ability to work in a fast-paced office / commercial kitchen working environment
    • Ability to sit or stand for prolong periods of time
    • Ability to access and navigate all areas of the work environment
    • Ability to lift a minimum up to 25 pounds at a time
    • Ability to physically bend, push, pull, stretch, move hands, wrist and fingers frequently
    • Ability to work anywhere from 20 to 40 hours per week and occasional extended hours

    WORK AUTHORIZATION/SECURITY CLEARANCE REQUIRED:

    Must be eligible to work in the United States
