    RESPONSIBILITIES: The Durable Medical Equipment (DME) Coordinator is responsible for processing and ensuring timely delivery of DME orders for HealthFlex Home Health patients within an assigned territory. Responsibilities include communication with patients, providers and physicians regarding documentation, orders, insurance and care coordination. As a member of the care coordination team, the DME Coordinator also supports other administrative areas such as Medical Records and Intake as needed.

    • Reviewing and data entry of orders, insurance, and authorization verifications. 
    • Ensure all orders are completed and upload supportive documents pertaining to the order into the electronic medical records system in a timely manner.
    • Able to prioritize orders by level of urgency and address them in a timely manner.
    • Ensures that an authorization is approved and created for every order.
    • Validates order is appropriate based on medical necessity. 
    • Communicates and follows up with outside vendors/suppliers to ensure that all requirements are received to fulfill the order.
    • Serves as the point of contact and liaison while maintaining good communication to patients, providers, suppliers and and internal staff 
    • Assists in problem solving potential issues related to equipment orders. Escalates insurance and other issues to the appropriate staff member. 
    • Build and maintain an adequate supply of Admission packets.
    • Order, receive, unpack, inspect and verify quality and quantity of medical supplies.
    • Store and inventory medical supplies.
    • Follow security procedures for the medical supply room.
    • Assist medical staff in determining appropriate supplies.
    • Retrieve supplies for clinicians and track required information in the inventory database.
    • Maintain supply area in a neat and orderly manner including rearranging stock for orderly and timely usage.
    • Monitor medical supplies for recalls and expiration dates. Dispose of expired supplies according to company policy.
    • Participate in quality assurance activities and inventory review as requested.
    • Collect equipment and supplies from exiting employees.
    • Maintains timely data entry into appropriate logs for tracking purposes.
    • Manages multiple phone lines ensuring each call is answered before the 3rd ring and routes messages to the appropriate team member as needed.
    • Practice good time management, perform with attention to detail, speed, accuracy and follow-through 
    • Provides excellent customer service.

    REQUIREMENTS:

    The ideal candidate must have great attention to detail, accuracy, ability to complete assignments in an efficient and timely manner, and work effectively with a team. They must be able to multitask, problem solve and have great customer service and communication skills.

    • Two years experience in durable medical equipment coordination, medical billing or other administrative support in healthcare setting required.
    • Knowledge of Medicare, Medicaid and other healthcare insurance guidelines preferred
    • Experience working with electronic medical records (EMR) system preferred
    • Basic knowledge of medical terminology preferred
    • Proficient computer skills required
