    HEALTHFLEX HOME HEALTH & HOSPICE is seeking an experienced PAYROLL SPECIALIST to join our team based in our Oakland HQ office.

    POSITION SUMMARY: The Payroll Specialist is a key member of the organization that performs activities necessary to successfully and accurately process complex payroll for multiple entities.  This role will work closely with internal stakeholders including but not limited to Human Resources and Senior Leadership to ensure overall objectives are achieved. 

    RESPONSIBILITIES

    • Responsible for all aspect of payroll administration including but not limited to transferring time and attendance data to payroll system, process voluntary and involuntary deductions, calculates correct wage amounts for items such as overtime, double time, mileage and PTO
    • Processes bi-weekly payroll cycles, and ensures that payroll system and payroll practices are compliant with city, state, and federal law
    • Auditing and payment of staffing agency and contractor invoices. This may include payment to various vendors, consultants and independent contractors that are not paid through Paylocity or during standard payroll runs
    • Accurately processes employee benefit contributions, process updates as elections and eligibility changes
    • Tracks and issues distributions for bonus programs 
    • Oversees time and attendance records and confirms that employee records and pay are accurate
    • Receive, enter, answer, and maintain (including filing) garnishments in accordance with federal and state requirements
    • Issues, or reissues, physical or replacement checks or direct deposits due to payroll errors or final discharge
    • Troubleshoots recurring errors and implements solutions to ensure accuracy 
    • Responds timely and answers frequently asked questions from employees relative to standard policies & processes
    • Documents and updates policies and procedures
    • Escalates complex questions and/or needed  approvals to appropriate senior leadership
    • Audit source documents to ensure receipt of appropriate approvals; reconcile payroll prior to transmission and validate confirmed reports
    • Process accurate and timely year-end reporting when necessary (W-2, W-2c, etc)
    • Perform self and peer review to ensure accurate data entry and maintain database integrity
    • Develop ad hoc financial and operational reporting as needed
    • Stays current on legal requirements and best practices related to payroll functions
    • Uses technology to design and enhance workflow processes, offers solutions to software and resource needs

    QUALIFICATIONS

    • Bachelors in Accounting, Business Administration, Human Resources required 
    • CPP preferred 
    • 3 years experience as a payroll professional
    • Working knowledge of payroll best practices
    • Strong knowledge of federal and state regulations
    • Strong PC skills including proficiency in Excel and Google Sheets
    • Strong work ethic and team player
    • High degree of professionalism
    • Ability to deal sensitively with confidential material
    • Strong interpersonal (verbal and written) communication skills
    • Ability to communicate with various levels of management
    • Decision-making, problem-solving, and analytical skills
    • Organizational, multi-tasking, and prioritizing skills

    POSITION TYPE: 

    Full Time (This is not a remote role, not accepting 100% remote candidates, a hybrid schedule will be considered)
