We are a small but well-established architectural firm specializing in corporate and commercial projects seeking a professional Office Administrative Assistant. The ideal candidate is very dependable, a positive team player who can take ownership of multiple tasks in a fast-paced environment, and who has excellent written and verbal communication skills. This position is for a full time, in-office role at our location in Fife, WA. Work hours are 8:00a-5:00p Monday – Friday.
RESPONSIBILITIES
- Welcoming visitors, suppliers, clients and vendors
- Manage main office phone system
- TYPING/WORD PROCESSING OF ESSENTIAL DOCUMENTS (PROPOSALS, CONTRACTS, ETC.) - MUST HAVE STRONG TYPING SKILLS AND THE ABILITY TO PROOF YOUR OWN WORK FOR ACCURACY.
- Coordinate shipping and mailings
- Scanning and electronic filing
- Data entry and archiving
- Scheduling conference rooms, coordinating meeting lunch orders
- Purchasing and managing supplies and office maintenance items
REQUIREMENTS
- Minimum of 2 years of reception/administrative experience
- Experience within the A/E/C industry preferred
- HIGHLY PROFICIENT WITH MS OFFICE SOFTWARE (WORD, EXCEL, OUTLOOK)
- EXCELLENT TYPING/WORD PROCESSING ABILITIES WITH HIGH ACCURACY
- Very high attention to detail
- Friendly, professional and well-spoken—enjoys working with people
- Strong organizational and multi-tasking skills
- Clear ITC and criminal records
