Responsibilities: • Case Management: Oversee and manage a caseload of probate and trust administration cases from inception to completion, ensuring deadlines are met and cases progress smoothly • Client Billing and Agreements: Handle invoicing and ongoing billing for clients. Manage clients signing a legal service agreement • Client Communication: Serve as the primary point of contact for clients, attend client meetings, provide updates on case status, answer inquiries, and address concerns promptly and professionally. Track communications with software • Documentation and Recordkeeping: Maintain accurate and organized case files, including legal documents, correspondence, and client communications, ensuring compliance with confidentiality and recordkeeping standards. Maintain the firm's case management system with up-to-date and accurate information • Probate and Trust Administration: Navigate the probate and trust administration process efficiently, including supporting the paralegal and attorney with drafting and filing necessary legal documents, coordinating with courts, beneficiaries, and financial institutions, and overseeing asset distribution • Client Education: Educate clients on the probate and trust administration process, including their rights, responsibilities, and potential outcomes, to empower informed decision-making • Collaboration with Attorneys: Work closely with attorneys to develop case strategies, review documents, and provide updates on case progress, ensuring alignment with client goals and firm standards • Financial Management: Coordinate with financial institutions, accountants, and other professionals to manage estate assets, pay debts, and distribute inheritances according to estate plans and legal requirements • General office including phones, greeting clients, scanning, photocopying, etc Qualifications: • A minimum of 2 years of case management experience • Probate and trust administration experience in a related practice area is preferred • Excellent organizational skills and attention to detail • Ability to manage multiple tasks and deadlines in a fast-paced environment • Proficient in using Microsoft Office Suite (Word, Excel, Outlook) • Understanding of client confidentiality and ethical standards in the legal field • Team player with a collaborative mindset and a proactive approach to problem-solving • Professional demeanor and strong interpersonal skills • Understand how to build a relationship with a person • Show the ability to interact with different types of personalities • Show empathy to clients and put them at ease during a difficult time • Demonstrate exceptional communication skills, both over the phone and in writing • Follow instructions and understand the importance of policies and procedures • Be a team player that consistently acts with respect and integrity • Be tech savvy (we use law firm systems and cloud-based software) Compensation: $20 - $25 hourly
