    Job Description

    HICKEY SMITH DODD LLP, IS LOOKING FOR A TEMP TO PERM LEGAL ASSISTANT/ CASE ASSISTANT, LOCATED IN THE TRI-STATE AREA TO JOIN OUR TEAM.

    POSITION PURPOSE: Provides administrative support to attorneys. Legal Assistants/ Case Assistants e-file documents with Courts within a specific time period and serve the legal documents on the appropriate parties. May work directly with clients in a non-advising capacity, such as answering questions, scheduling appointments and making sure all court requirements are met. Legal Assistants/ Case Assistants represent the Firm by providing outstanding customer service and accurate follow-through actions for all inquiries and referrals.

    ROLES & RESPONSIBILITIES:

    · Notarize Affidavit of Services

    · Files and serve pleadings, motions, discovery and settlement documents

    · Researches Court rules, compiles, reviews, reconciles, and/or maintains a variety of information and records related to case files, clients and other contacts

    · Input information into case management software

    · Organize materials for team member review

    · Draft, review and transmit correspondences for attorneys

    · Must have strong communication skills, both oral and written

    · Assist attorneys with hearing, trial, arbitration, administrative hearing preparation etc. by organizing, assembling and marking key documents

    · Receives and processes information requests, registrations, forms, orders, notices, and/or other related information and correspondence

    · Sorts, files, and maintains materials and filing systems (paper, computer or imaging), retrieves file materials, and keeps a record of file movement

    · Performs a variety of routine clerical activities and other duties as assigned.

    QUALIFICATIONS/EXPERIENCE:

    • VALID NEW YORK STATE NOTARY PUBLIC LICENSE REQUIRED
    • Associate’s degree in a related field (such as legal assisting, law enforcement, or human services) or bachelor’s degree
    • MINIMUM OF 2 YEARS OF RELATED EXPERIENCE
    • EXPERIENCE IN INSURANCE DEFENSE LITIGATION A PLUS
    • PRIOR EXPERIENCE E-FILING AND MANUALLY E-FILING IN NEW YORK REQUIRED. Similar experience in NJ, PA, CT,CA, IL, FL, and/or WI Courts and PACER a plus
    • Interpersonal skills necessary to develop and maintain effective and appropriate working relationships with clients, co-workers, and representatives of other agencies
    • Good decision-making skills and the ability to function well under stress while working in a fast-paced environment in order to meet deadlines and deal with pressure situations
    • General knowledge of applicable subject areas, including court rules and procedures, and the ability to learn relevant terminology, policies, and processes
    • Must be a highly motivated self-starter with excellent research and analytical skills and be proficient in all Microsoft Office products (including Outlook, Word, Excel, and PowerPoint) and in using web-based applications
    • Prior Case Management Software experience a plus
    • Tech savvy candidate
    • Ability to handle multiple tasks concurrently and deal with interruptions
    • Strong attention to detail
    • Ability to consistently demonstrate sound ethics, good judgment and maintain the confidentiality of information

    COVID-19 considerations: Due to the pandemic our Legal Assistants are working on a rotating schedule, we have masks, disinfectant wipes and spray, and comply with the CDC requirements. Our office is sanitized twice a day and we also have air purifiers throughout the office.
