This position is full-time, in-office, and is responsible for ensuring all operational and transaction details are handled with precision. This role requires prior real estate experience — either as a real estate administrative assistant, title professional, or licensed agent familiar with transactional processes. Candidates must have experience with transaction processes, including DocuSign, agreements of sale, and seller disclosures. This is not a training role, and familiarity with legal and transactional documents is essential. About the Role This role is multifaceted, combining operational excellence, client care, and administrative management. The Executive Assistant will support a high-performing real estate team, with a primary focus on the listing side of the business, including transaction coordination and general real estate operations. Success requires initiative, resourcefulness, and the ability to follow established procedures while problem-solving independently. Compensation • Salary Range: $60,000 - $70,000+, depending on experience • Bonuses: Holiday bonus & summer bonus based on productivity and business performance • Paid Time Off Responsibilities: • Provide consistent and proactive back-office support for all transactions • Coordinate and prepare listings for the market, including preparing for listing appointments, managing listing contracts, coordinating photography, and overseeing listing-related logistics • Manage DocuSign, agreements of sale, and seller disclosures accurately and efficiently • Maintain email correspondence and ensure all tasks and threads are tracked and completed • Follow established systems and procedures for listings, contract-to-close processes, and client care using Compass tools • Open homes for sellers and buyers when needed (requires reliable transportation) • Work one designated weekend day each week to support business operations • Collaborate effectively with other team members • Problem-solve everyday logistical issues while maintaining professional standards Qualifications: • Proven experience in real estate, either as an administrative assistant, title professional, or licensed agent, familiar with transactional processes • Strong knowledge of transaction processes, including DocuSign, agreements of sale, and seller disclosures • High attention to detail and accuracy in all work • Tech-savvy and quick to learn new systems (experience with Compass tools is a plus) • Strong written and verbal communication skills • Consistent, dependable work ethic and ability to work independently • Strong problem-solving abilities and common-sense decision-making • Local to Haverford or the surrounding Main Line area for accessibility • Ability to work a consistent schedule, including one weekend day • Growth-minded, learning-based, and open to adopting new processes • Positive, proactive attitude — takes ownership and accountability for work • Must have a reliable car for travel to listing appointments and property access Compensation: $60,000 - $70,000
