    We’re searching for a highly capable High-Level Real Estate Assistant to help drive the operational success of a top-producing real estate business. We’re not just selling homes—we’re building an experience that blends expert-level service with smart marketing, local storytelling, and consistent execution. You’ll help make that happen from behind the scenes by keeping operations tight, listings on track, and client communications seamless. Compensation & Role Details • Salary: $50,000–$60,000 depending on experience • Schedule: Full-time, in-office (Downtown Wheaton); one WFH day may be available after 60 days • Benefits: PTO, bonus potential after 60 days, and long-term growth opportunities Responsibilities: What You’ll Handle Day-to-Day Listing Coordination • Prepare and organize listing materials, disclosures, marketing content, and signage • Schedule vendors (photographers, stagers, cleaners) and track listing timelines • Ensure accurate MLS entry and listing quality across all platforms • Support property launch campaigns through checklist execution and content coordination Transaction Oversight • Monitor contract-to-close timelines, coordinate with clients, attorneys, lenders, and cooperating agents • Track key deadlines and ensure all compliance documents are collected and filed • Keep clients informed with proactive updates and professional communication Operational Support • Maintain and improve internal systems, SOPs, and workflows • Organize and update the CRM and contact database • Manage recurring tasks, inboxes, calendars, and scheduling tools • Collaborate with leadership to streamline team functionality and reduce friction Client Experience & Relationship Building • Coordinate closing gifts, event invites, review requests, and follow-ups • Support branded outreach, including newsletters, mailers, and appreciation campaigns • Help organize events, pop-bys, and client touches that build long-term loyalty Light Marketing & Brand Tasks • Assist with posting or scheduling content across social platforms • Help prepare visual assets and coordinate with our media team as needed • Contribute to brand consistency and campaign execution Qualifications: What You Bring • 3+ years in real estate operations, listing coordination, or high-level admin support • Solid understanding of the real estate process from pre-listing to post-closing • Strong organizational skills and the ability to manage competing priorities • Proficiency in tools like Google Workspace, Docusign, Canva, Follow Up Boss, and MLS systems • Excellent written and verbal communication • Self-directed, resourceful, and proactive—you solve problems before they grow • Professional, team-oriented, and obsessed with getting the details right Compensation: $50,000 – $60,000
