    Job Description

    We are seeking a high functioning experienced candidate with a high EQ to fill the role of _Senior Executive Assistant / Estate Manager / Chief of Staff _on a major philanthropist's personal assistant team. This high-net-worth client is in need of a high level Executive Assistant / Estate Manager.  She needs a super organized, resourceful, trustworthy person in this role that is primarily an Estate Manager.  The client will pay for relocation cost and housing in Jackson Hole, if reasonable.  She is a very generous woman who will pay top dollar for the right person.  She has 3 homes: 1 in Jackson Hole, 1 in LA and 1 in Arizona.  She spends most of her time in Jackson Hole, where this position will be.  ( Candidate must be proactive, resourceful, and communicate effectively in all aspects of the position. Candidate must be quick and nimble to solve unexpected ad hoc issues in a manner that protects the wishes and best interests of the principal. The following are necessary criteria.

    • US Citizen or Permanent Resident
    • Valid and current driver’s license
    • Reside or willing to relocate to Jackson, WY
    • Desk hours 9am-6pm Monday – Friday
    • On call 24/7 including all holidays and weekends

    List of job roles and responsibilities (not limited to):

    • Maintain personal schedule and calendar (manual paper calendar)

      • Maintain schedule of days in each state/country for accountants
    • Maintain household calendar

    • Creation and maintenance of household manuals for all client homes

    • Maintenance and updating of virtual file system

    • Scheduling of all maintenance and oversight of vendors

      • Oversight of vendor projects to ensure job satisfaction and completion
    • Maintaining client’s personal “bible” of information including and not limited to info. related to travel, memberships, pets, associations, gift and events, groceries, etc.

    • Scheduling and booking all client travel including all forms of transportation and lodging

    • Schedule and organize all appointments for pets (dogs)

    • Collection and review of staff timesheets

    • Schedule and oversee spring cleanings, summer preparations and winterizations for all homes and vehicles

    • Event planning and execution through the direction of the client

    • Assembly of annual holiday gift baskets (approximately 100 baskets at Christmas time)

    • Oversee corporate gifting (flowers, champagne, etc. for important relationships)

    • Handle all personal shipping and mailing for client

    • Monitor and maintain inventory of household items: pantry, mailing, household goods, dog supplies, etc.

    • Coordinate with rental property managers and accountants the mandated monthly reporting

    • Taking, reporting, and filing meeting minutes as needed

    • Work with principal to update and complete tasks per her “To Do List” system

    • Ideally you will have experience working for a high net worth individual or family office
