    As the Project & Contract Administrator you are a key team member and an integral piece of the construction cycle. Your primary responsibility is to support field construction activities in the office by processing information and controlling the contract administration.

    Project & Contract Administrator - Job Duties:

    • Manage the contract administration requirements for multiple projects simultaneously entering project budgets, assigning new job numbers, setting up appropriate electronic and main files per standard operating procedure
    • Process contract documents, including RFI’s, change orders, submittals, compliance documents, subcontracts, and general communications
    • Understand the billing/payment cycle and assist in coordinating and distributing payment applications and lien releases
    • Manage purchase orders related to material and supply procurement from vendors and suppliers
    • Coordinate with project managers and accounting to ensure project data is accurately captured and updated in timely manner
    • Review aging report, communicate with delinquent accounts, provide updates to management, and take appropriate action to secure past due accounts
    • Provide service updates/communication and job site notices
    • Attend production meetings and keep minutes/notes
    • Manage heavy email communications

    A successful candidate will be a team player, be able to manage shifting priorities and can work with individuals at various levels in the company.

    Project & Contract Administrator – Required:

    • Keep accurate records and logs in orderly system and maintain job files.
    • Responsible for interface with estimators, projects managers, subcontractors, and clients with professionalism.
    • Strong time management, organizational, communication, and customer service skills with the ability to prioritize and multi-task in a fast-paced environment.
    • Must be able to work under pressure and remain calm when faced with tight deadlines.
    • Working knowledge of Microsoft Office, Word, Excel, Power Point, Adobe Professional
    The position reports directly to the Production Manager.
