    Hoag Property Management Inc. Department: Administration Job Title: Receptionist Job Description: Attend to visitors and respond to inquiries on the phone and in person. Assist with providing information about Hoag Property Management, Inc. services to the general public, clients, and new customers. Provide clerical assistance to other departments when needed. Supervision: This position reports directly to the Vice President of Operations. Knowledge: Knowledge of administrative and clerical procedures, computers, and relevant software applications (i.e., Microsoft Office, Excel, etc.), knowledge of customer service principles and practices, keyboard skills, and ability to handle multiple telephone lines and high-volume phone calls. English Language: Must have knowledge of the structure and content of the English language, and the ability to communicate well with all owners, customers, etc. Secondary language, Bi-lingual (Spanish) is not a requirement for this position but is beneficial when interacting with Spanish-speaking customers. Other: This position requires prolonged sitting, please notify your supervisor immediately of any limitations or concerns. Responsibilities: • Answer telephone, screen, and direct calls • Take and relay messages • Provide information to callers • Greet persons entering organization and direct them to the correct destination • Deal with queries from the public and customers • Communicate with vendors • Monitor visitor access and maintain security awareness • Ensure knowledge of staff movements in and out of the organization • Provide general administrative and clerical support • Pick-up/drop-off mail to/from the US Postal Office • Provide appropriate rental applications or other forms to prospective tenants (being familiar with the rental process). Be familiar with the Application Process and be able to review Application Packet for accuracy • Accept rental or HOA dues payments when accounting staff are not available or take overflow walk-ins • Update monthly calendars reflecting Accounting and Property Managers' weekly schedules • Maintain the front desk, lobby, and conference room neat and clean • Open office main doors at 8 am and change the switchboard to day mode • Make weekly changes to the organization’s website • Assist Maintenance Department with work-orders Qualifications: • The ability to communicate with others to convey information effectively. Strong verbal and written communication skills • Customer service orientation • Organization; being able to maintain a high volume of records; at times being able to multi-task • Adjusting actions in relation to the actions of others • Using logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions, or approaches to problems • Working in a team environment • Reliable, stress tolerance, and initiative Compensation: $17 hourly
