    We're a growing agency looking for a proactive, self-directed professional to join our team as our Home Care Administrative & Billing Coordinator. This isn't a role for someone who needs everything laid out—we need someone who can build structure, improve processes, and take ownership of operations.

    The Role

    As a small, growing agency, we need someone who can work independently, identify gaps, and create solutions. You'll be responsible for day-to-day operations, but you'll also be a change agent—someone who sees what needs to be done and does it without waiting to be told.

    This is NOT a corporate role with established processes and procedures. You'll need to be comfortable with ambiguity, able to work alone when needed, and excited about building systems rather than just following them.

    What You'll Do

    Billing & Revenue Cycle Management

    Execute weekly, bi-weekly, and monthly billing cycles for private pay and third-party programs

    Submit VA third-party billing every Monday with precision and timeliness

    Maintain accurate billing documentation aligned with care plans and time records

    Prepare and deliver weekly Billing & Receivables reports to leadership

    Track outstanding balances and manage receivables according to company procedures

    Client File & Documentation Management

    Maintain and update electronic client files to ensure documentation is current and audit-ready

    Conduct regular audits of electronic records for accuracy and completeness

    Organize and store required documents according to agency standards

    Support internal audits and external reviews with confidence

    Client Experience & Quality Assurance

    Conduct monthly client satisfaction surveys and weekly satisfaction calls

    Document client feedback with detail and professionalism

    Escalate concerns to the Care Team Coordinator or Agency Director promptly

    Help maintain strong client relationships through proactive communication

    Employee File & Onboarding Support

    Create and maintain electronic employee folders for newly hired caregivers

    Verify completion of Paycor onboarding and all required employment documentation

    Keep employee records organized, up-to-date, and compliant

    What We're Looking For

    Required Qualifications

    3+ years of billing experience in healthcare or service-based settings

    Experience with third-party billing (VA, insurance, or similar programs)

    Proficiency in Excel or Google Sheets (formulas, pivot tables, reporting)

    Experience with electronic health records (EHR) or client file management systems

    Strong understanding of HIPAA and confidential information handling

    Excellent attention to detail and documentation accuracy

    Ability to manage multiple recurring deadlines without dropping the ball

    Clear written communication skills

    Self-directed and proactive—comfortable working independently

    Comfortable with ambiguity and building processes in a small company environment

    Change agent mindset—you see what needs to be done and take initiative

    Ability to reliably commute to Sandy Springs office 2 days per week

    Preferred Qualifications

    Experience with Paycor or similar onboarding systems

    Background in home health, home care, or healthcare administration

    Experience with VA billing or government programs

    Familiarity with accounts receivable management

    Experience working in small companies or startups where you built processes from scratch

    Track record of identifying operational gaps and implementing solutions independently
