    Job Summary

    We are seeking a highly organized and dependable Home Care Scheduler & Administrator to join our team. This role is responsible for coordinating caregiver schedules, maintaining staffing coverage, supporting daily office operations, ensuring regulatory compliance, and delivering exceptional service to clients and caregivers. The ideal candidate has strong communication skills, excellent attention to detail, and knowledge of home care regulations and compliance requirements.

    Responsibilities

    Coordinate and manage caregiver schedules to ensure appropriate staffing coverage for all client assignments.

    Assign clients to qualified caregivers based on client needs, caregiver availability, skills, and location.

    Utilize scheduling and home care management software to maintain accurate schedules and records.

    Maintain an up-to-date list of available, on-call, and backup caregivers to address call-offs and last-minute staffing needs.

    Communicate schedule updates, changes, and coverage needs with caregivers, clients, and management.

    Monitor caregiver attendance, punctuality, and shift completion.

    Assist with caregiver recruitment, onboarding, orientation, credentialing, and training coordination.

    Verify and maintain employee records, including licenses, certifications, CPR, TB tests, background checks, and other required documentation.

    Ensure compliance with company policies, state regulations, accreditation standards, and payer requirements.

    Monitor documentation and scheduling practices to support compliance with EVV, HIPAA, and home care regulations.

    Assist with audits, quality assurance activities, and regulatory reviews.

    Answer incoming calls, respond to inquiries, and provide excellent customer service to clients, families, referral sources, and staff.

    Assist with administrative tasks including filing, reporting, payroll support, record maintenance, and general office operations.

    Support management with operational planning, staffing strategies, and compliance initiatives.

    Qualifications

    High school diploma or GED required; associate's or bachelor's degree preferred.

    Previous experience in home care scheduling, healthcare administration, staffing coordination, or a related field preferred.

    Knowledge of home care regulations, compliance requirements, HIPAA, EVV, and caregiver credentialing processes.

    Strong understanding of state licensing requirements and healthcare documentation standards.

    Strong organizational and time-management skills with exceptional attention to detail.

    Proficiency in Microsoft Office Suite and scheduling software.

    Ability to multitask, prioritize responsibilities, and work independently in a fast-paced environment.

    Excellent verbal and written communication skills.

    Strong customer service and interpersonal skills.

    Ability to maintain confidentiality and handle sensitive information professionally.

    Experience working in a home care, home health, or healthcare environment is highly preferred.
