    JOB TITLE: Scheduling Coordinator

    LOCATION: Brea, Ca.

    POSITION AVAILABLE: Immediately

    CLASSIFICATION: Full time, nonexempt, benefited position.

    RESPONSIBILITIES

    Customer Service

    1. Take incoming calls and resolve appropriate client concerns professionally
    2. Establishes and maintains professional relationships with clients, paying careful attention to client preferences and needs
    3. Perform general office management tasks such as; ordering office supplies, update databases for business management

    Schedule Management/Staffing

    1. Develop caregiver work schedules by allocating employees in shifts and positions
    2. Effectively resolves issues with a positive, professional demeanor finding solutions using clear processes and protocols
    3. Prepare and submit reports on staffing operations
    4. Ability to juggle multiple projects with superb accuracy
    5. Coordinate with private and business clients to intake new contracts
    6. Share on-call duties as assigned
    7. Maintain good communication with field employees, document appropriate information in employee records; transfer relevant information to HR or nursing
    8. Coordinate with SN to schedule timely RCOC assessments with client families

    Administrative/Department Support

    1. Enter data of new clients into online software accurately, communicate to internal and external staff accordingly
    2. Assist with preparation of letters, memos, reports, thank you cards, etc
    3. Scan completed RN assessments and physician orders into computer
    4. Distribute care plans to client physicians for signatures and medical provider for updated information on the client
    5. Keep track of nursing equipment sign in and sign out; restock supplies as needed
    6. Coordinate with President on future marketing events; order marketing materials as needed
    7. Assist payroll department as needed; call field staff for hours
    8. Assist the nursing department as needed; participate in SN meetings, distribute information, etc

    KNOWLEDGE, SKILLS, AND ABILITIES

    1. Excellent written and verbal communication skills including the ability to speak in public
    2. Ability to organize thoughts and present them clearly
    3. Must be self-motivated and able to work without direct supervision
    4. Proficient in Microsoft Office and other basic business programs for general business use, including the preparation of marketing related materials and presentations
    5. Customer service oriented and skilled in customer conflict resolution techniques
    6. Position requires automobile travel within designated geographical areas
    7. Valid driver's license, reliable transportation, and willingness to travel

    JOB QUALIFICATIONS

    1. High school diploma/GED
    2. Bilingual English/Spanish is required
    3. Proficient in Microsoft Excel
    4. 1-2 years of administrative support experience in a high-volume business environment
    5. Exceptional customer service skills
    6. Experience in healthcare environment a plus
    7. Must be able to work Monday-Friday 8:00 am 4:00 pm and have reliable transportation to work
    8. Can handle sensitive information with the highest degree of integrity and confidentiality
    9. Ability to write, speak and interact clearly and professionally
