Attorney Professional Development & Recruitment Assistant
Job Description
JOB SUMMARY We are looking for a motivated professional to join a collaborative and energetic group dedicated to attorney recruitment, professional development and well-being. This individual will coordinate professional development initiatives, performance evaluations, and mentoring for the Firm's lawyers, assist the Manager of Attorney Professional Development in CLE certifying Firm-sponsored training programs for Illinois attorneys, and assist the Director of Lateral Attorney Recruitment & Integration with all administrative recruitment tasks as assigned. Additionally, this individual will provide general administrative support for the Attorney Development and Recruitment Department and assists with other tasks and projects as assigned.
RESPONSIBILITIES
PROFESSIONAL DEVELOPMENT:
Maintain CLE tracking database for individual attorneys; manage the maintenance of records of CLE requirements as needed and/or required certifications and records training activities that fulfill them. Also assist attorneys in tracking completion of their annual CLE requirements;
Ensure Firm sponsored training programs are CLE certified, where required;
Support the Manager of Attorney Professional Development in implementing substantive legal training programs for each of the Firm’s departments on an ongoing basis;
Prepare and schedule training meetings (large and small) for the Firm’s lawyers; and
Organize training materials.
ATTORNEY RECRUITMENT & INTEGRATION:
Support the Director of Lateral Attorney Recruitment & Integration and Manager of Legal Recruitment in all recruitment activities, including interview scheduling, resume collection, etc. and special projects as assigned;
Interact with candidates, including law students, associates and partners to facilitate the recruiting process;
Interact with search firm recruiters to facilitate the recruiting process for attorney candidates submitted through search firms;
Prepare, maintain, and manage recruiting templates, including offer letters and vendor agreements, as well as the recruiting team’s administrative calendars in Microsoft Outlook;
Maintain the recruiting team’s applicant tracking system, viDesktop;
Maintain the recruiting team’s files in FileSite;
Safeguard highly confidential information; and
Manage the recruiting team’s Zoom accounts for virtual interviews and liaise with Central Services to reserve conference space, order food and address AV needs for in-person meetings and interviews.
GENERAL ADMINISTRATIVE:
Prepare regular correspondence and reports, including time-sensitive and confidential documents;
Proofread and edit text for grammatical and typographical errors, occasionally for content;
Establish, maintain and revise record keeping and filing systems;
Classify, sort and file correspondence, articles, records, and other documents; and
Review and screen visitors, telephone calls, and correspondence; ascertain callers' needs and tactfully refer visitors, callers, and correspondence to team personnel as appropriate.
QUALIFICATIONS
Bachelor's degree or commensurate experience;
2+ years of professional development or other similar experience in a law firm or professional services organization;
Demonstrated interest in professional development and legal recruitment preferred;
Excellent attention to details and strong organizational skills;
Ability to work with attorneys and administrative staff at all levels of the organization;
Excellent oral and written communication skills;
Ability to work in a fast paced environment, multi-task and prioritize workloads;
Ability to work independently, exercise judgment and initiatives to accomplish results and meet deadlines; and
Strong technical skills with MS Office products required and knowledge of viDesktop preferred.
