    SUMMARY OF THE POSITION

    The Front Desk Coordinator will play a dual role by being the first impression to everyone coming into the building, and support with the administrative needs of the Facilities department.  This position manages the daily inflow of guests and phone calls received at the main office building, including welcoming guests, greeting visitors, performing security related tasks, as well as be the administrator for the department to include processing invoices, purchase orders. 

     

    ROLES AND RESPONSIBILITIES:

    FRONT DESK RESPONSIBILITIES:

    • Greet visitors visiting the USP-Rockville facility, collect information regarding their visit, and assign appropriate credentials.
    • Notify USP employees of visitor arrivals and provide direction to the visitor as necessary.
    • Answer, screen and forward incoming phone calls to appropriate staff person or team.
    • Maintain the building directory to ensure that seating assignments are up to date.
    • Serve as a contact in the event of an emergency incident. Forward all details of the incident to the appropriate emergency response personnel. During 911 calls, direct first responders arriving on site to appropriate location. During evacuation, support Incident response team as necessary.
    • Maintain office security by following procedures and controlling access via the visitor parking and reception desk areas.
    • Create and/or reissue security badges and parking transponders under the direction of global security.
    • Order supplies and maintain inventory for security badges, parking transponders.
    • Maintain the company parking database
    • Assist in performing new employee on boarding actions such as coordinating badges, pictures, and parking items.

     

    FACILITIES COORDINATOR RESPONSIBILITIES:

    • Provides administrative support to the Facilities department by processing purchase orders and invoices in a timely fashion
    • Maintains facilities contracts and routes them for approval electronically
    • Tracks budgets for the department
    • Orders supplies and takes care of other miscellaneous administration tasks such as ordering food etc.
    • Performs other duties as assigned.

     

    BASIC QUALIFICATIONS

    • High school diploma and three years of work experience as a Receptionist and/or Front Office Coordinator with at least one year of experience providing administrative support in a high-volume environment
    • Proficiency with Microsoft Office Products,  using databases and the internet

     

    PREFERRED QUALIFICATIONS

    • Associates Degree preferred
    • Strong interpersonal skills, including verbal and non-verbal communication.
    • Strong professionalism, accountability, helpfulness, and possesses a customer service mentality.
    • Ability to successfully handle multiple assignments in a timely manner.
    • Strong time management skills.
    • Strong organizational skills and attention to detail.
    • Flexibility and responsiveness; May require working in shifts.
