Position: Hospitality Coordinator
Reports to: Director of Operations, Memphis
Position Overview
We are seeking a hardworking, enthusiastic, and detail-oriented professional to join our team as a Hospitality Coordinator. This role is dedicated to elevating the guest experience across our Memphis venues through thoughtful recognition, personalized follow-up, and proactive community engagement.
The Hospitality Coordinator plays a key role in ensuring our guests feel celebrated, appreciated, and valued before, during, and after their visit. This position is guest-focused, highly organized, and collaborative, working closely with venue management to create memorable and meaningful experiences.
We serve high-quality food and deliver exceptional hospitality in a fun, welcoming atmosphere. Our Management Team is hands-on and supportive, ensuring you have the tools and guidance needed to succeed in this important guest-facing role.
Key Performance Elements / Essential Functions
Guest Experience & Recognition
Review daily reservations in Resy for The Lookout and identify special occasions (Birthdays, Anniversaries, Graduations, etc.).
Coordinate signed celebration cards and ensure they are completed and placed on the table prior to guest seating.
Communicate special requests to Management and assist in facilitating fulfillment whenever possible.
Ensure all birthday and anniversary celebrations receive a complimentary dessert to share.
Guest Follow-Up & Engagement
Send personalized thank-you emails to the previous day’s Lookout reservations, particularly those celebrating special occasions.
Follow up with banquet and private event guests the day after their event with a personalized thank-you message.
Escalate any dissatisfied guest feedback to the Management Team for appropriate follow-up and resolution.
Community & Event Awareness
Review the Renasant Convention Center event calendar weekly and communicate upcoming events to the Management Team.
Identify opportunities to position our venues on event-related web pages (places to dine, bowling, gather, etc.) to increase visibility during conventions and large-scale local community events.
Qualifications
Strong written and verbal communication skills
High attention to detail
Guest-service mindset
Ability to work independently and proactively
Strong organizational skills with consistent follow-through
Familiarity with reservation platforms (Resy preferred)
Minimum Requirements
Friendly, polished, and guest-focused personality
Professional appearance and demeanor
Ability to manage time effectively and meet deadlines
Previous restaurant, hospitality, or hotel experience preferred
Schedule
Part-time position (approximately 25 hours per week)
Schedule may include occasional evenings or weekends based on event activity
