Inbound Sales & CRM Automation Manager

Compensation: $72,000 – $90,000 base salary, plus commission | Full-time, exempt
About the role
Clive Collective runs private dining, events, and group sales across five venues in two states, and inbound demand outpaces what a manual process can handle. We need someone to own that engine end to end: the lead flow, the CRM, and the AI and automation layer that runs both.
This is a builder’s role. You will design and deploy AI-assisted workflows that qualify, route, and follow up on inquiries in minutes rather than hours, and you will own the systems that track every opportunity from first contact to booked event. You will also step in when a high-value inquiry needs a human touch. AI and automation experience is the core of the job, not a nice-to-have.
Our stack
OpenTable for reservations and TripleSeat for events at every location, both with API access. TableVoice and Revmo for voice AI at all properties. Google Workspace for every user and venue. HighLevel for marketing and pipeline today, with a plan to replace it with a custom-built solution.
What you will own
Automation and AI workflows
Design, build, and maintain agentic AI workflows for lead intake, qualification, response, routing, and follow-up across email, web forms, voice AI, and chat
Integrate TripleSeat, OpenTable, TableVoice, Revmo, HighLevel, and Google Workspace through their APIs and tools such as Zapier, Make, n8n, or Apps Script
Deploy and tune AI agents for first-response drafting, triage, calendar coordination, and proposal generation, with clear handoffs between voice AI, CRM, and human staff
Measure automation performance (response time, conversion, drop-off) and iterate
Lead the design and build of the custom platform that will replace HighLevel, either hands-on or by directing outside developers, and manage the migration of pipeline, contacts, and workflows
Inbound lead management
Own inbound inquiry flow for all venues and ensure every lead gets a polished, guest-focused response within service-level targets
Qualify opportunities by date, guest count, budget, event type, and revenue potential and route them to venue sales leads with complete notes
Manage high-value inquiries to handoff or close
Identify missed opportunities and response gaps and fix the underlying process
CRM ownership and reporting
Own TripleSeat and HighLevel configuration, permissions, pipeline stages, templates, and data hygiene
Keep reservation and event data flowing cleanly between OpenTable, TripleSeat, and the CRM
Build dashboards for pipeline health, lead source performance, conversion, and venue-level revenue
Train venue sales staff on CRM standards and new workflows
Collaboration
This role sits inside the sales and marketing department, reports to the Director of Sales, Marketing & Events, and works hand in hand with the Events Manager at each property. The parameters that govern how inbound inquiries are qualified, routed, and prioritized are set by the events and venue teams. This position translates those parameters into working systems and keeps them current as each venue evolves.
Partner with each property’s Events Manager to define and maintain qualifying criteria, routing rules, minimums, blackout dates, and space availability logic
Work alongside the sales and marketing team on campaign lead capture, follow-up sequences, and shared reporting
Meet regularly with venue leadership to review pipeline, response performance, and booked-event outcomes
Gather feedback from venue teams when routing rules are not serving a property and adjust quickly
Serve as the single point of coordination so every venue works from the same standards, templates, and data
What we require
Three or more years in sales operations, CRM administration, or revenue operations
Hands-on experience building agentic AI workflows in production, including prompt design, tool integration, and human-in-the-loop handoffs
Proven ability to connect platforms through APIs and automation tools and troubleshoot integrations
Fluency in Google Workspace as an automation platform (Gmail, Calendar, Drive, Apps Script)
CRM administration experience; TripleSeat, OpenTable, or HighLevel strongly preferred
Strong written communication and a guest-first instinct
Organized, data-driven, and able to own a process end to end
What sets a candidate apart
Hospitality, private dining, or events sales experience
Working knowledge of HighLevel and its data model, which will inform the replacement build
Experience with LLM APIs (OpenAI, Anthropic, Google), agent frameworks, or voice AI platforms
Experience scoping, building, or supervising a custom CRM or internal tool, including working with developers or low-code platforms
Automation experience in a multi-location or multi-brand environment
