    Job Description

    POSITION OVERVIEW Marketing Coordinator is a full-time position.

    ORGANIZATIONAL ALIGNMENT Reporting directly to the Hotaling and Co. Brand Managers will be responsible for helping support their brands’ day-to-day operations. 

    JOB DESCRIPTION Events and education are the cornerstones of Hotaling and Co.’s marketing strategy. While the key aspects of the job are detailed below this is a dynamic role that will interact with many facets of the business and therefore require a ‘no task is too big or small’ attitude.   

    KEY RESPONSIBILITIES  

    EVENT & PROGRAM COORDINATION (25%)

    • Assist with coordination of Brand managed events and coordinate with local teams on Sales driven events when necessary
      • Oversee staffing, setup, tear down, and logistics 
      • Assess what is needed for events: i.e. sample pours downs, tasting mats, collateral, etc.
      • Shipping and receiving (load in/load out) of POS & product
      • Communicate dates and needs with team.  
      • Create calendar invites for all parties involved 
      • Book venues & accommodations
      • Coordinating internally with the Hotaling & Co. team
      • Selecting recipes and coordinating product/cocktail ingredients 
      • Creating all necessary collateral – menus, invites, fliers, etc.
      • Track to budgets and code invoices
    • Create and manage updates to marketing calendar including: cocktail weeks, global holidays, award submission, whiskey events, etc.
    • Write/compile event recaps and share within 1 week of event completion
    • Contribute to the development and support execution of annual brand plans including but not limited to: consumer and trade marketing programs to drive growth and build brand equity including education programs, bartending contests, sampling, staff trainings, experiential marketing programs, features and incentives aimed at creating brand awareness and encouraging consumer advocacy through meaningful/ memorable experiences.
      • Evaluate effectiveness
      • Assist with brand budgeting, invoice coding and processing 
      • Manage external and internal staffing, product and bar needs, and create event recaps.
      • Create inventory, and distribute event tools and brand POS. 
      • Manage distiller and/or bartender itineraries for events or market visits
    • Support new item process and setup for brand extensions
    • Manage the coordination of Demos scheduling and kits administration

    COMMUNICATION & PR SUPPORT (20%) 

    • Coordinate social posting calendar and external vendors/photographer to align with schedule (Denizen)
    • Code and submit invoices for approval
    • Coordinate accolade submission 
    • Support as a Brand Ambassador at events
    • Collaborate with the PR agency to execute the brand plan.  This includes sending samples to writers, fact checking, collecting recipes and cocktail photos from bartenders, coordinating media mailers.
    • Facilitate updates to the website as necessary: awards, cocktails, product info, etc.

    REPORTING/ANALYSIS (15%)

    • Learn the Diver system and pull shipments & depletions reports 
    • Help prepare brand & performance presentations including event recaps, monthly brand reports/marketing recaps, and quarterly performance reports

    ADMINISTRATIVE AND SALES SUPPORT (25%) 

    • Develop relationships with sales to gain a better understanding of the business, offering appropriate support as needed
    • Handle monthly invoicing and coding 
    • Work on special projects on an as needed basis
    • Bar stocking and organizing
    • Storage room/unit organization and inventory

    POS INVENTORY & DISTRIBUTION MANAGEMENT (15%) 

    • Work with Brand Managers to order/reorder brand POS
    • Organize and manage POS inventories
    • Shipping POS, pour downs, samples for Brand events/PR Needs
  • Qualifications

    Qualifications

    Qualifications & Experience

    • College Degree required
    • 2+ Years at a Marketing/PR Agency and/or in Sales
    • Alcohol Beverage Industry experience preferred 
    • Strong alignment to company culture and values. Personality fit with the Hotaling & Co. team is key.  
    • Experience in customer service (either internal or external), project management skills, attention to detail, sense of urgency and personal accountability.  
    • High energy team player with strong social skills 
    • High tolerance for multi-tasking, flexible and thrives in a dynamic, fast-paced executional environment. 
    • Proficient in Microsoft Suite and Adobe Illustrator. 
    • Driver License required, no exceptions
