    ORGANIZATIONAL DESCRIPTION

    Our objective at the Hotze Health & Wellness Center is to change the way women and men are treated in midlife through the use of detoxification through vitamin and mineral supplementation and bioidentical hormone replacement.     DESCRIPTION:

    The ultimate goal of the Front Office Phone Coordinator is to provide extraordinary hospitality and guest experience to every patient over the phone.

    Responsibilities include, but are not limited to assisting the Front Office medical team by scheduling and modifying guest appointments, answering the phone within two rings and with a smile, create telephone enounters in our EMR system, and take appointment payments over the phone.

    The Front Office Phone Coordinator will demonstrate excellent verbal communication skills, attention to detail, build positive relationships with the guests and team members, and deliver a WOW experience to guests.

    DUTIES:

    • Arrive for work and be ready to huddle promptly at 7:30am
    • Answer the phones within two rings and with a smile, create telephone encounters, transfer calls to the applicable party
    • Rotate for one late evening per week (approximately until 6:00 p.m.)
    • Share responsibility for phone guest check-out. Ensure payment is processed with correct credit card. Mail invoice and lab orders, if applicable.
    • Schedule and modify appointments
    • Make confirmation calls one week in advance for providers
    • Share responsibility for accounts receivable outbound calls and collection
    • Build relationships with guests by providing a WOW experience
    • Continually looks for ways to surprise and delight guests

    QUALIFICATIONS:

    • Warm, friendly and outgoing personality
    • Customer Service experience
    • Call Center/ Phone Support experience a PLUS
    • Detail oriented
    • MS Applications ( Excel and Word)
    • Ability to work independently
    • Ability to manage time effectively and work efficiently to complete tasks
    • Ability to multi-task
    • Ability to prioritize tasks
    • Medical system (EMR) experience a PLUS
    • Familiar with HB300 or HIPPA preferred

    Hours:

    Monday- Thursday - 7:30 a.m. - 5:00p.m./5:30 p.m.

    Friday- 7:30 a.m. - 12:00p.m./12:30 p.m.
