PLEASE NOTE: THIS IS A SEASONAL POSITION WITH FULL-TIME HOURS SET TO GO THROUGH FEBRUARY 2023 WITH THE POSSIBILITY OF EXTENSION.
OVERVIEW OF JOB DESCRIPTION:
The Safety Administrative Assistant provides safety administrative support to the Safety and Security Department in support to Houdini’s safety objectives. The Safety Administrative Assistant also acts as a liaison in the department’s goal of providing a safe and adequate work environment for all employees at Houdini Inc. The Safety Administrative Assistant will act as a communication line between the Safety Department, Human Resources, and our Workers Compensation carrier. The Safety Administrator will coordinate the safety training by putting material together for distribution via online and print with guidance.
SPECIFIC DUTIES AND RESPONSIBILITIES:
- Practices safe working techniques and enforce the EHS policies, guidelines and procedures as set out by the Company.
- Assist with inspections, assessments, surveys and program evaluations to identify potential hazards, and ensure compliance with all applicable safety and environmental rules and regulations.
- Assist in the investigation of incidents, employee injuries, near misses and/or situations where safety procedures were not followed and complete the appropriate reports and/or other paperwork necessary.
- Assist with the follow up after an incident or near miss situation to ensure the appropriate corrective actions have been implemented to prevent recurrence of a similar situation.
- Perform routine inspections of various life safety systems including, but not limited to, fire extinguishers, emergency lighting, and emergency eyewash and shower stations.
- Perform administrative duties related to department records and files.
- Assist with the purchasing and receiving of Safety supplies and equipment for the safety department.
- Assist with Workers’ Compensation claims and recordkeeping.
- •Assist with Covid-19 related activities (taking calls, contact tracing, reporting data collection, follow up communication, etc.)
- Provide support and assistance in the preparation, compilation and distribution of safety reports as needed.
- Regularly communicate with Human Resources Department regarding updates or corrections of company policies, Workers’ Compensation claims.
- Assist with administrative functions, such as setting up meetings with various individuals, departments and/or third parties.
- Perform other administrative duties such as typing letters/memos, faxing, copying, and distributing items as needed for safety meetings.
- Regular and predictable attendance safely perform tasks and adherence to all safety policies and procedures are essential functions of the job.
- Coordinate the training material for Safety Awareness Program training using company software (Power Point, Articulate, Opti-Signs, and other as needed.)
- Other duties as assigned.
KNOWLEDGE, SKILLS AND ABILITY REQUIREMENTS:
- High School diploma or equivalent
- 1 year of office support experience
- 2 years of Safety related training or experience
- Excellent Microsoft Office skills (Word, Excel, PowerPoint)
- Desktop publishing a plus
- Must be detail oriented, organized, and have problem-solving and reasoning skills
- Ability to work in a fast-paced, team environment with minimal supervision
- Utilizes strong time management and organizational skills to successfully multi-task
- Must be able to communicate effectively and conduct yourself professionally, with excellent written and verbal communication
- Must be bilingual English/Spanish (read, speak and write)
- Willingness to travel between location when needed
- Must possess valid CA Driver’s License and have good driving record.
