    Job Description

    Our Marketing Events Manager is responsible for the planning, coordination and execution of the House of Rohl US events held throughout the year.  This includes: a) virtual training events with primary audience of interior designer and secondary audience of wholesale showroom consultants b) in-person multi-day training events onsite in Irvine, CA with primary audience of wholesale showroom consultants. Responsible for the planning, coordination and execution of the Annual Sales & Marketing Meeting for the House of Rohl US, either in virtual format or in person on location within US, as well as regional sales meetings.  Leads the planning and execution of KBIS and other national events from A to Z including booth selection, management of construction firm, product tracking, hospitality initiatives, scheduling rooming lists, attendee coordination, booth staffing schedules, event schedules etc.  This role is also responsible for managing the CEU course content creation process and deployment, including identification of speakers and collaborators.  Oversees the COOP fund management program for promotional items, advertising and display signage.  

    RESPONSIBILITIES

    • Responsible for the full life cycle planning and day of coordination from start to finish of company events; including Academy trainings, trade shows and customer experience events.
    • Creates and updates project trackers for all events, managing all tasks related to execution and leading weekly meetings with stakeholders to drive decision-making and progress.
    • Collaborates with graphic design to develop Academy and event communication materials that are distributed to participants.
    • Develops an influencer outreach strategy that leverages our events, social media and reward platforms in an omni-media experience that engages this audience.
    • Develops and manages a detailed project plan for each event. The Event Planner ensures that all participant travel plans and meeting logistics are secured in advance to deliver an exceptional event experience for our guests. This includes but is not limited to:
    • Facility and Meeting space, decor, catering, entertainment, transportation, registration, special guests, AV equipment, promotional materials, etc.
    • Virtual execution plan including identifying appropriate presentation tools/technologies, production of events (including hosting WebEx/Zoom calls), unique in-person touches while virtual
    • Collaborates with cross-functional teams (re: hosting, speakers and content, agencies, and vendors).
    • Maintains the ongoing calendar for 20 to 30 customer events per year.   
    • Develops and manages processes for invitations, registration, attendee check-in and post event feedback.
    • Manages event budgets and related expenses.
    • Oversees the COOP Fund Management program for promotional items, advertising and display signage, including promo item procurement and inventory management.
    • Specifies staff requirements and coordinates their activities onsite.
    • Negotiates contracts with venue and vendors to meet business needs and keep cost down.
    • Researches venue options, coordinates appointments and visits to see venue space and schedule events.
    • Conducts pre and post event evaluation and provides periodic progress reports to management for each event project.
    • Proactively troubleshoots any issues that arise leading up to and on the event day.  
    • Coordinates with and assists the Global Integrated Marketing event team as necessary.
    • Identifies new tools and technologies to enhance the meeting experience, both virtually and in person.
    • Serves as the “producer” or “cruise director” for each event with full accountability for execution on time and on budget.

    QUALIFICATIONS

    • A Bachelor’s degree in PR, Marketing, Hospitality Management or related field is required.
    • Minimum of 5 years of project coordination and event planning experience of 20+ events per year.
    • Must be highly organized, flexible, and handle multiple deadlines in a professional manner with a customer-service mindset.
    • Excellent time management, detail oriented, and communication skills (verbally and accurately in writing).
    • Impressive portfolio of previously managed events (weddings, meetings, corporate events), including virtual events (training, trade shows, CEU courses).
    • Software proficiency in MS Word, Excel, Power Point and Outlook is required. Planning tool experience is preferred (such as Trello).
    • Ability to travel for trade and special events, up to 20% of the time.
