SALES SUPPORT SPECIALIST
HOUSE OF SILLAGE has a career opportunity for a Sales Support Specialist in Newport Beach.
Candidates must be available to work Monday through Friday 7am to 4pm. This position prepares documentation, maintains records, coordinates logistics for product shipments, maintains and records inventory, coordinates with the sales department, speaks with customers, and other duties as assigned.
JOB DESCRIPTION
SALES ADMINISTRATION COORDINATOR DUTIES MAY INCLUDE:
- Creation of ad hoc sales and inventory reports in excel for upper management
- Large amount of data entry
- Inventory management of multiple SKUs at multiple locations
- Interact with domestic sales team and originate orders
- Set up and communicate with international clients
- Proactively engage clients for orders and payment
- Prepare documentation, maintain records, coordinate logistics, and schedule/coordinate both Domestic and International freight forwarder transactions
- Prepare shipping paperwork as well as complete shipping transaction in appropriate systems
- In addition to typical duties, other duties may be assigned as needed
- Manage orders from order inception to delivery
- Monitor and maintain all open orders for National and International accounts; maintain communication with sales reps, customers, store managers, regarding order status (i.e. back orders, cancellations and adjustments, credit holds, hold for confirmation, etc.)
- Review and confirm all pricing, discounts, and terms are correct in the system
- Main point of communication with our 3PL
- Provide morning open order reports, ensure orders shipping on time, troubleshoot exceptions.
- Provide and create return authorizations for product issues
- Assist in tradeshow setup and logistics for regional shows
- Some travel required, up to 15%
SALES SUPPORT SPECIALIST QUALIFICATIONS:
- Must have previous ERP experience (SAP, Oracle, Sage) Sage is preferred.
- Must be able to touch-type and touch 10-key
- Must have previous experience in international logistics, shipping, and packing
- Must have experience with high SKU counts
- Must have advanced excel skill level
- Experience with EDI is a plus
- Experience in shipping dangerous goods is a plus.
- Retail industry experience is a plus
- Must have a good attitude and be a team player
SALES SUPPORT SPECIALIST WORKING ENVIRONMENT
- Temperature controlled office environment
- Requires working at a computer and phone for extended periods of time (approximately 90% of an 8-hour day).
- Ability to lift, bend, kneel, climb, crawl and/or twist.
- Will occasionally be required to move and lift up to 35 lbs when preparing shipments (twice a month)
