    DUTIES AND RESPONSIBILITIES

    This is a virtual/remote, full-time, 40 hour per week job. The work can be done from anywhere, but we tend to keep “East Coast hours” in this company, Monday-Friday, from 9-6.

    In this role, we'll lean on you to support various administrative and operational tasks within our Department, such as:

    •  Calendar and inbox management.
    •  Drafting of documents and corresponding professionally with team members.
    •  Taking notes and send meeting summaries.
    •  Organizing virtual events.
    •  Keeping SOPs, data, and administrative records up to date.
    •  Project-managing various initiatives, to ensure that multiple participants in a larger goal all do what they're supposed to do, when they're supposed to do them.

    COLLABORATING WITHIN A DISTRIBUTED WORKFORCE

    This is full-time, 40 hour per week, remote/virtual position. Other than our live quarterly team meetings (discussed below) this job can be done from your home office. With that said, while a virtual environment lends itself to a great deal of flexibility and efficiencies that are highly prized by most members of our team, this is a full-time job – requiring 40 hours per week of your time, generally during “East Coast Hours” from 9-6 on Monday-Friday.

    Each quarter our firm hosts a conference for our members (with hundreds in attendance at each event) at an upscale hotel in locations that rotate across the country. You will be expected to attend these meetings about once per year, on average, just to help you get a clearer sense of what we do and develop a deeper bond with our team. (We will, of course, pay for all your travel expenses when you do attend these events.)

    You will also be expected to attend weekly team meetings by videoconference as part of this team and will interact with some members of our team outside of those calls via videoconference as well, when/as needed.

    QUALIFICATIONS

    As noted above, an ideal applicant is looking for a new long-term home to launch the next chapter in their career, and can demonstrate awesomeness in the following areas, among others:

    • INCREDIBLY PROACTIVE. They look for things that need to be done and they do them. They don't wait around until they are told to do something.
    • HYPER-ORGANIZED. We'll be asking you to juggle a lot of tasks in this role. The execution of any individual task is rarely terribly complicated. But the challenge comes in managing all of them at once, so nothing falls through the cracks.
    • DOES NOT NEED A LOT OF MANAGEMENT. We're actually going to be relying on you to manage us. That is to say, you'll be supporting a number of elite executives who are very busy with way too much on their plate (working much longer hours than we'll ever ask you to work and juggling more balls than we'll ever ask you to juggle). So, it's easy for any of these people to lose track of things and drop some of these balls. We're relying on you to be the person that keeps track of all this and keeps us from dropping these balls. What isn't helpful is when you rely on us to micro-manage you at every turn. If you need that level of direction, we recommend avoiding this role, as it will prove frustrating for all involved.
    • CRAZY GOOD AT FOLLOW UP. Just to emphasize the points above even more, a right-fit applicant here needs to ensure other people do what they have to do, and submit proposals and information based on the deadlines we provide.
    • HIGH ATTENTION TO DETAIL. And, again, amidst an organization where no one else has “time for details” because they're working too many hours, and jumping around between too many tasks, we'll be relying on you to be the one person who we can trust does have the time – and skills – to really obsess about those details and ensure all “I's are dotted” and “T's are crossed”… at all times.
    • CONQUERS CALENDARS, E-MAIL, SPREADSHEETS, WORD PROCESSING, AND THE INTERNET. We don't need you to code or do anything terribly sophisticated with hyper-fancy technology. But this is a distributed workforce here. So, if you're used to working with paper, and digital tools are not your “native language”, then this will not be an ideal fit for you.
    • FLEXIBLE. You need to be comfortable when plans change when things go wrong. Once of the trade-offs of working in a highly entrepreneurial and _rapidly­-_growing organization, is that things change… a lot. So, we need someone with a cool head and a can-do attitude. Someone who will not crumble under stress.
    • POSITIVE, TEAM PLAYER. We are a big team, and most of us work remotely. You need to always have the benefit of the team in mind and want to see the whole team succeed, we are only as strong as our team members.
    • GREAT COMMUNICATION SKILLS. You must be an excellent communicator both written and verbal.
    • A FAST LEARNER. We'll expose you to many, many new things. This is cool from a growth and professional development perspective. But, if you can't pick up new concepts fast, you'll be lost.

    Of course, we always like to see things like college degrees and meaningful previous administrative assistant or executive assistant experience. But we also try not to get overly hung up on those things either. We'll do our best to give you opportunities to prove to us that you have the skills outlined above in our recruiting process. Though, of course, if you have those things… even better!

    COMPENSATION

    This is a non-exempt role. Thus, time must be captured hourly, at a rate of $20 per hour. But we'll ensure that we give you the consistency and benefits of a $40,000 per year salaried role, just the same as you would enjoy if labor laws allowed us to pay you a flat salary… this includes plenty of paid time off, while still getting that $40,000 per year paycheck.
