    GENERAL SUMMARY: The HR Coordinator plays a vital role in supporting BODYBAR’s people operations across our corporate headquarters and three Company Managed studios. This position provides hands-on assistance across HR administration, recruiting, onboarding, employee engagement, HR systems administration, benefits, and payroll coordination. Reporting to the Director of HR, the HR Coordinator ensures accurate and compliant HR operations, maintains strong employee service standards, and contributes to an exceptional employee experience across all locations. This role is ideal for an HR professional who thrives in a dynamic, fast-paced environment and enjoys balancing structure with a people-first approach.

    ESSENTIAL DUTIES & RESPONSIBILITIES

    STUDIO HR OPERATIONS & SUPPORT

    HR Operations & Administration

    Provide daily HR administrative support to ensure consistent and efficient HR service delivery.

    Maintain accurate and confidential employee records and ensure data integrity within the HRIS.

    Prepare HR correspondence, employee documentation, and routine reports.

    Support compliance efforts by completing employee file audits, tracking certifications, acknowledgments, and training completions.

    Assist in preparing and distributing internal HR communications, policy updates, and announcements.

    Recruiting & Onboarding

    Partner with the Studio Managers, Fitness Managers and the Franchise Performance Manager to support hiring, onboarding and full-cycle recruiting efforts to include posting positions, screening candidates and scheduling interviews.

    Ensure timely communication and a positive candidate experience throughout the hiring process.

    Assist with initiating and conducting pre-hire background checks and reference checks.

    Coordinate onboarding logistics for new hires, including documentation, system setup, orientation scheduling, and new hire materials.

    Maintain onboarding content and conduct periodic reviews to ensure an engaging and consistent new hire experience.

    Employee Relations & Engagement

    Serve as the first point of contact for employee inquiries regarding HR policies, benefits, and general workplace questions.

    Assist in documenting and tracking employee relations issues, escalating to the Director of HR as needed.

    Support HQ and studio employee engagement and recognition initiatives, including events, surveys, and team-building activities.

    Compile and organize data from stay interviews, exit interviews, and employee surveys to identify engagement trends.

    Payroll & Benefits Coordination

    Process studio payroll in accordance with the payroll policy ensuring accuracy and timeliness.

    Maintain and process studio employee changes related to payroll, benefits, or timekeeping.

    Assist with PTO tracking, reimbursements, and benefits documentation for employees

    Coordinate with HR Directors and benefit vendors to resolve studio employee issues and ensure a smooth open enrollment process.

    Learning & Development Support

    Coordinate logistics for employee training sessions, workshops, and development programs.

    Track training attendance and completion and assist with learning management system updates.

    Support HR-led initiatives in employee development, performance management, and compliance training.

    HR Systems, Reporting & Compliance

    Maintain the HRIS and other HR-related systems, ensuring accuracy, security, and data consistency.

    Assist in generating studio HR reports and tracking key metrics such as headcount, turnover, and recruitment data.

    Support HR documentation, audits, and reporting in the studios to ensure readiness for federal, state, or franchise compliance reviews.

    Assist with labor law posting compliance and ongoing monitoring

    CORPORATE HEADQUARTERS HR OPERATIONS & SUPPORT

    HR Operations & Administration

    Provide HR administrative support to corporate headquarters on an as-needed basis to ensure consistent and efficient HR service delivery.

    Partner with the Director of HR on HR-related projects and initiatives.

    Recruiting & Onboarding

    Assist the Director of HR with recruiting efforts including posting jobs, screening candidates, scheduling interviews, and candidate communications.

    Employee Engagement & Recognition

    Support HQ employee engagement and recognition initiatives, including events, surveys, and team-building activities.

    Payroll Coordination

    Act as a payroll processor backup for headquarters ensuring accuracy and timeliness.

    Additional Responsibilities

    Maintain strict confidentiality while handling sensitive employee information.

    Support HR meetings, prepare materials, and assist with follow-up tasks

    Perform other duties as assigned in support of the HR department and BODYBAR’s people operations.

    QUALIFICATIONS & EXPERIENCE

    Bachelor’s degree in Human Resources, Business Administration, or related field (or equivalent combination of education and experience).

    2-4 years of experience in HR coordination, generalist support, or related HR administrative role.

    Experience supporting multi-location operations or franchise environments preferred.

    Familiarity with employment laws, HR compliance practices, and recordkeeping requirements.

    Working knowledge of HRIS and payroll systems; Rippling or similar software experience a plus.

    Strong understanding of confidentiality requirements and data integrity.

    HR reporting/HR audit preparation preferred

    Proficient in HRIS platforms and Microsoft Office or Google Workspace tools.
