ROLE OVERVIEW:
The Human Resources Manager is responsible for overseeing and executing all core HR functions, including recruitment, employee relations, performance management, benefits administration, compliance, payroll support, training, onboarding, and offboarding. This role serves as a trusted partner to leadership and managers, ensuring HR processes are compliant, efficient, and aligned with company policies and business objectives.
KEY RESPONSIBILITIES:
Recruitment & Hiring:
- Draft, post, and review job descriptions in collaboration with hiring managers.
- Screen resumes, coordinate interviews, and schedule interview panels with hiring managers, senior leadership, and the President.
- Conduct reference and background checks through recruiters and employment screening services.
- Prepare initial employment documents such as offer letters, intellectual property agreements, and non-disclosure agreements.
- Manage end-to-end onboarding, including coordinating with IT for system access and equipment, setting up Expensify accounts, and entering employee and background check data into TriNet.
Employee Relations:
- Serve as the primary point of contact for employee inquiries related to hospital credentials, IT issues, travel bookings, and general HR matters.
- Support managers with performance and conduct concerns, including reviewing and adjusting employee goals when needed.
- Conduct or support workplace investigations as directed by executive leadership.
- Ensure consistent application of company policies and procedures, as maintained in TriNet.
Performance Management:
- Coordinate and remind employees and managers of performance review cycles (mid-year and quarterly check-ins).
- Track employee goals using Lattice, ensuring timely submission and updates.
- Support managers with performance feedback, documentation, and coaching.
- Administer Performance Improvement Plans (PIPs) in collaboration with management.
Benefits Administration:
- Manage employee benefits programs, including health, dental, vision, and life events changes.
- Enroll employees and process benefit changes through TriNet.
- Administer leave requests, including FMLA, state leave programs, PTO, and disability leaves.
- Respond to employee questions regarding benefits by directing them to TriNet resources and providing guidance as needed.
Compliance & Policy Management:
- Maintain accurate and up-to-date employee records, ensuring all documentation is properly stored in employee files.
- Ensure compliance with federal, state, and local labor laws and regulations.
- Support and maintain compliance with SOC 2, HIPAA, and other applicable regulatory requirements.
- Oversee policy acknowledgements, updates, and revisions.
Payroll & Compensation Support:
- Coordinate with Accounting on payroll deductions, approvals, and compensation changes.
- Process payroll updates, including raises, bonuses, and deductions, through TriNet.
- Manage employee terminations and ensure accurate final pay processing.
- Review payroll reports for accuracy and track changes communicated by executive leadership.
- Support 401(k) enrollments and calculate mid-year bonus payments.
Training & Development:
- Manage onboarding and ensure a training plan is set
- Coordinate mandatory compliance training modules, such as security awareness and harassment prevention, via KnowBe4.
- Track training completion and send reminders as needed.
- Support Program Lead initiatives, including weekly projects and competitions
- Coordinate and distribute gift cards and recognition awards in partnership with leadership.
Offboarding:
- Manage resignation and termination checklists to ensure a smooth offboarding process.
- Conduct exit interviews when applicable.
- Process final payroll and benefits termination and review final registers.
- Coordinate asset recovery and system access deactivation with IT, including arranging equipment return via FedEx.
Additional Responsibilities:
- Manage employee birthday vouchers and recognition initiatives.
- Handle EDD correspondence and other employment-related mailings.
- Track jury duty documentation, including summons and proof of attendance.
QUALIFICATIONS:
- Bachelor’s degree in business administration, or a related field preferred.
- 4–7 years of progressive HR experience in a generalist or manager role.
- Strong knowledge of employment laws, HR best practices, and compliance requirements.
- Hands-on experience with HRIS platforms such as TriNet, Lattice, KnowBe4, and Expensify.
- Excellent interpersonal, organizational, and communication skills.
- Ability to handle sensitive information with discretion and professionalism.
