Role Summary
The Human Resources - People Operations Lead (HRPO) is a multi-functional leadership role responsible for managing HR compliance, payroll and administrative operations of the business. This all-inclusive position supports employee life cycle management, financial record keeping, and Beyond Karate’s (BK) organizational systems to ensure a smooth, professional, and values-aligned experience for staff and students alike.

Job Type: Full-Time
Work Setting: 75% Onsite/25% Remote in Santa Monica, CA
Schedule: Typically, Monday-Friday between the dojo’s business hours of 10 am-6 pm; Once a month on Saturdays
Key Responsibilities
Human Resources- HR (People Operations)
Manage all staff recruiting, onboarding, and offboarding processes
Maintain accurate employee records with checklists, certifications, and personnel files, including employee conflicts and resolutions, communications, and HR-related conversations
Coordinate performance reviews, staff development, and internal communications with the administrative team and/or Lead Instructors
Ensure compliance with local labor laws, employment policies, external and crisis communications, and safety standards and certifications
Review employee plans, including retirement, 401K, programs, and policies related to employee services
Uphold a positive team culture that reflects the studio’s values and mission
Financial Accounting (Payroll Operations)
Strong knowledge of ADP and QuickBooks, payroll accounting systems
Maintain payroll records, deductions, and time tracking reports using accounting software
Track revenue, vendor payments, and expense reimbursements
Assist with bank reconciliations, tax preparation, and financial reporting with Bookkeeper
Collaborate with the team, as needed, on all financial information related to the dojo
Dojo Management (Studio Operations)
Create, organize, and maintain standard operating procedures (SOPs)
Maintain company files electronically in the secure portal/intranet
Oversee all maintenance, security, video, and software upgrades, repairs, and enhancements for BK
Manage/update internal HR and financial documentation for waivers, registrations, business licenses, insurance, permits and compliance
Determine financial budgets according to costs, profits, and margins for the two dojos including and not limited to subleases for dojo space
Support team members, as needed, especially the CEO, Program Manager, Office Manager, and Marketing with scheduling, staffing, payroll, communications, meetings, bookkeeper coordination and dojo operations, as needed
Qualifications
Experience in HR functions, payroll administration, and business operations including management of contractual agreements with vendors
Expertise in Microsoft and Google, especially Microsoft Excel, including pivot tables and visualizations. Other necessary tools include Microsoft Word, PowerPoint, and Microsoft and Google Analytical tools.
Expertise in ADP (including benefits) and QuickBooks are a must
HR Compliance and HR law/regulations are a plus
Knowledge of Wellness Living is a plus
Experience with diverse youth programs and/or martial arts studio is a plus
Detail-oriented, organized, and proactive self starter
Strong written, oral, and interpersonal communication skills
A background check is required for all personnel
